Position Summary
Under minimal supervision, plans, organizes, and provides secretarial and administrative support for a business unit using independent judgment and discretion in planning, prioritizing, and organizing work.
Key responsibilities
Assists with special projects and prepares complex reports by compiling data, performing calculations, and creating charts, spreadsheets, and related documents.
Transcribes and types scientific and technical materials from various formats; prepares stylized documents using desktop publishing software; proofreads for grammar and accuracy.
Manages communication by answering calls, greeting visitors, drafting responses, and providing routine information within scope.
Coordinates schedules, meetings, and travel; organizes conferences and events by managing logistics, registrations, supplies, and materials.
Maintains departmental files, databases, and resource materials; compiles and distributes reports and information as needed.
Monitors office supplies and equipment; handles ordering, repairs, invoice reconciliation, and service requests.
Prepares and tracks administrative forms; routes materials for approvals and resolves processing delays.
Leads office support staff by assigning tasks, monitoring performance, training new hires, and supporting HR processes like evaluations and discipline.
Minimum qualifications
Education:
A high school level of educationExperience:
One year of relevant experience
An in-depth knowledge and understanding of the department and hospital programs, policies, procedures, and information related to his/her functions and services.
Initiative in improving operations within area/department, and the ability to assist in implementing changes.
Ability to assist in overseeing the daily activities of co-workers to help plan, prioritize and delegate work assignments.Schedule: Monday-Friday, Hybrid after training
The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.
Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
