What This Role Actually Is
You are the person who makes sure nothing falls through the cracks. Calendar, inbox, follow-up, vendor coordination, systems building, and personal logistics all run through you. If the CEO is spending time on something that does not require his specific judgment or relationships, that task belongs to you.
This role operates in a fast-moving entrepreneurial environment where priorities shift and plans change regularly. The right candidate adapts without drama and stays focused on outcomes regardless of how the path changes.
Core Responsibilities
Calendar ownership means nothing gets scheduled without going through you. You protect deep work blocks, prep a one-page brief before every important meeting, and make sure he walks in prepared every single time.
Inbox management means you process email daily, reply on his behalf for routine matters, and only escalate what genuinely needs his judgment. Inbox chaos is your problem to solve, not his.
Project follow-up means you track open items across active construction and development projects - permits, vendor quotes, contractor schedules, lender documents - and chase them without being asked.
Systems building means you help build and maintain operating systems and SOPs for recurring tasks across Valley Isle Enterprises, ensuring the CEO never has to explain the same process twice. You document, organize, and make things repeatable.
Vendor and contractor coordination means you handle communication with lawyers, lenders, permit offices, and suppliers. You track who owes what and when.
Hiring support means you post job ads, screen initial applications using criteria the CEO defines once, and only bring qualified candidates forward. You understand that A-players are the foundation of a great company and take that responsibility seriously.
Personal logistics and property coordination means you arrange garage sales, coordinate yard work, manage vehicle maintenance, book appointments, and handle anything personal that takes 20 minutes but costs two hours of mental energy. No task is beneath this role if it buys back the CEO's time.
Daily documentation means you submit a simple end-of-day summary of hours worked and tasks completed. Pay is based on documented work performed, not hours sitting at a desk.
What Makes the Right Person
