Warehouse Coordinator Job Description The Warehouse Coordinator oversees day-to-day office and logistics operations within a manufacturing environment. This role manages shipping coordination, prepares and tracks customer invoices, maintains accurate inventory and shipment records, and supports basic accounting functions. The position requires strong attention to detail, excellent organizational skills, and hands-on experience with QuickBooks and Microsoft Office. Responsibilities Generate, review, and manage bills of lading for outbound shipments to ensure accuracy and compliance. Coordinate freight and shipments with logistics companies, vendors, and customers to meet delivery schedules. Send shipment tracking information to customers and provide timely updates on delivery status. Prepare, submit, and follow up on customer invoices, ensuring accuracy and completeness. Track customer payments and support accounts receivable activities, including basic accounting tasks. Manage general office operations and administrative duties to support warehouse and manufacturing activities. Maintain accurate records for shipments, inventory, and financial transactions in both digital and physical formats. Communicate proactively with internal teams, customers, and carriers to resolve issues and ensure smooth operations. Support production and shipping/receiving activities by coordinating documentation and information flow. Perform data entry related to inventory, shipping, and invoicing in QuickBooks and other inventory management systems. Assist with maintaining and updating inventory records and production inventory data. Essential Skills Prior office management experience in a manufacturing environment. Hands-on experience with freight coordination, shipping, and logistics. Strong experience generating general bills of lading and other shipping documentation. QuickBooks experience required, including invoicing, data entry, and basic accounting support. Experience with invoicing, accounts receivable, and basic accounting processes. Proficiency in Microsoft Office, including Word and Excel. Strong organizational, multitasking, and time-management skills. Ability to communicate clearly and professionally with internal teams, customers, and carriers. Experience coordinating freight with logistics companies and sending tracking information to customers. Ability to maintain accurate records for shipments, inventory, and financial transactions. Additional Skills & Qualifications Experience working in shipping and receiving or production support environments. Familiarity with inventory or manufacturing systems and production inventory processes. Experience with inventory management systems and data entry related to inventory control.
