Administrative Specialist

TerraGraphics is seeking a highly organized and detail-oriented Administrative Specialist to support upcoming temporary contract work with a possibility of follow-on work if there is a good match between skills and needs. This individual will manage document packages, interface with the client(s), and ensure schedules are met on time. The ideal candidate is professional, dependable, detail-oriented, and capable of managing multiple tasks while maintaining accuracy and strong communication with staff and clients. Early career college graduates with an interest in building experience with environmental regulatory support will also be considered.
Responsibilities
Prepare, edit, and manage administrative and environmental documents and reports
Maintain organized digital and physical filing systems
Support project teams with administrative tasks and document control
Coordinate schedules, meetings, and communications with client(s)
Review documents for accuracy, formatting, and completeness
Assist with technical editing and document clearance
Assist with data entry, tracking spreadsheets, and reporting
Communicate professionally with clients, vendors, and team members
Perform general office and administrative support duties as assigned
Adhere to all required training and access requirements
Required Qualifications:
U.S. Citizenship required
Bachelor's degree in related field or high school diploma and 5 years relevant experience
Adobe Acrobat Pro - Intermediate level minimum
Microsoft Word - Intermediate level minimum
Microsoft Excel - Intermediate level minimum
Exceptionally detail oriented
Exceptionally organized
Strong communication skills
Desired Qualifications:
Hanford Site experience
Bachelor's degree with STEM emphasis
Previous experience with administrative operations, client services, or a similar role
Experience with prioritizing and meeting deadlines
Strong problem-solving and troubleshooting skills
Professional attitude and dependable work ethic
Effective interpersonal skills (ability to relate at all levels of the organization)
Ability to work independently as well as in teaming environment
Possess excellent attention to detail
