Position OverviewThe Data Specialist supports the Instrumentation and Operations teams by maintaining equipment records, managing department data, coordinating vendor visits, and supporting documentation processes. This role requires strong organization, attention to detail, and the ability to manage multiple tasks in a fast-paced operational environment.This is not an Executive Assistant or traditional Administrative Assistant role. The position is heavily focused on data tracking, CMMS systems, asset management support, reporting, and operational coordination.The ideal candidate is highly organized, comfortable working with spreadsheets and databases, able to handle confidential information professionally, and capable of supporting technical operations teams with accurate documentation and reporting.EducationHigh school diploma or GED required Associate degree preferred CertificationsCMMS or administrative support certifications are a plus Required ExperienceMinimum 3 years of recent administrative, operations support, data coordination, or similar experience Experience supporting operational, maintenance, engineering, or technical teams Experience managing records, documentation, scheduling, or reporting in a professional environment Experience coordinating vendors, service visits, or maintenance activities preferred Tech SkillsAdvanced proficiency in Microsoft Excel, Word, Outlook, and PowerPoint Experience using CMMS systems such as Maximo, BMRAM, or similar maintenance/work order systems Experience maintaining spreadsheets, reports, and databases Ability to manage electronic document storage and record retention processes Soft SkillsStrong attention to detail and accuracy Excellent organizational and time management skills Strong written and verbal communication skills Ability to manage multiple priorities and shifting deadlines Ability to maintain confidentiality and professionalism Self-starter with strong follow-through and problem-solving skills Comfortable working independently and with cross-functional teamsPhysical RequirementsAbility to walk through operational and equipment areas Ability to lift, carry, reach, bend, and move equipment or materials occasionally Ability to work around maintenance or operational equipment safely Ability to sit and work at a computer for extended periods PPE such as safety glasses, gloves, and safety shoes may be required in certain areas ResponsibilitiesCoordinate vendor visits for equipment installation, calibration, maintenance, repairs, and qualification activities Monitor and convert work requests into work orders within the CMMS system Maintain accurate asset management records and upload vendor documentation into company systems Track department metrics and assist with reporting and presentation preparation Support technicians and operations teams with asset movement tracking and documentation Maintain organized electronic and physical records according to company retention policies Draft communications and coordinate with vendors, contractors, and internal teams as needed Support multiple operational and administrative projects simultaneously Ensure accuracy, consistency, and confidentiality in all documentation and reporting activities Work EnvironmentCombination of office and operational facility environment Occasional exposure to noisy production or maintenance areas Interaction with technicians, vendors, and operations personnel regularly**Only those lawfully authorized to work in the designated country associated with the position will be considered.** **Please note that all Position start dates and duration are estimates and may be reduced or lengthened based upon a client's business needs and requirements.**
