The Fiscal Services Division of the Kansas State Treasurer's Office operates as the state's bank, managing the receipt and disbursement of state funds. The office provides trustee services for various state programs and bond issues, ensuring funds are properly administered and accurately accounted for. The division also oversees the collateralization of public deposits, maintains compliance with the state monies law, and safeguards public resources to support the efficient operation of Kansas government.

Position Summary

Serves as primary receptionist for the office and is the first contact for any visitors.

Job Responsibilities may include but are not limited to the following:

40% Agency Teller Services

Accepts and reconciles cash deposits from other state agencies.

Prepare cash deposits for second verification and secure transport.

Scan and balance checks deposited by state agencies so that the checks may be transmitted to the contract bank for deposit.

Respond to customer inquiries regarding payments made to and sent by the State of Kansas.

Approve agency deposits for checks and cash in SMART.

Notify agencies of any returned checks and approve return check deposits.

30% Customer Service and Front Desk Operations

Serves as the first point of contact with the Office of the State Treasurer for customers and visitors, and presents a positive and professional demeanor in interactions with all customers, co-workers and visitors.

Manages day-to-day operations of the front desk including answering and directing incoming telephone calls and voicemail messages.

Greets, directs, and otherwise assists visitors to the office.

Responsible for end-of-day procedures including turning off all office equipment, lights and securing all doors.

20% Agency-Wide Administrative Support

Provides administrative support and assistance as needed to all divisions of the Office of the State Treasurer.

Assists with scheduling meetings and securing resources such as meeting space

Provides administrative support for program events and promotional activities.

Accepts and distributes mail and deliveries.

Serves as employee and agency liaison with other state agencies to assist with matters such as building and facilities maintenance, parking and security.

10% Other

Cross-train with other positions in the office as needed to ensure continuity of operations in the event of absence(s).

This position will also assist with other tasks as assigned by management as needed.

Qualifications:

Education

High school diploma or equivalent.

Preferred: Successful completion of a minimum of 12-hours of post-secondary education or training in office administration, finance, accounting and/or communications. Education may be substituted for experience as determined relevant by the agency.

Licensing & Certification

Valid Drivers' license

Minimum Qualifications

One year of experience in customer service, general office, clerical and/or administrative support work. One year of experience in cash handling.

Preferred Qualifications

Two years' experience in general office, clerical and/or administrative support work in a professional environment and/or customer service experience in a professional setting. General banking knowledge.

Special knowledge, skills and abilities

Must possess strong analytical skills, organizational abilities, and sound judgment and decision-making ability. Must be able to take initiative and manage a diverse set of activities/duties. Must be able to communicate clearly and effectively both verbally and in writing. Must possess the ability to work effectively under stress and time sensitive deadlines. Must possess the ability to interact in a professional manner with the public, business partners, personnel of other state agencies, and members of the legislature and their staff.
