Position Summary:
Eastern Illinois University is seeking candidates for a full-time Civil Service position of Office Administrator for Political Science/Philosophy Department. This position will be responsible for general office support as well as serving as a liaison between the Political Science/Philosophy Department and other units at EIU and prospective students.
Essential Duties and Responsibilities:
- Answers inquiries and resolve problems that require the interpretation, explanation, and justification of administrative and programmatic policies and procedures.
- Receives incoming mail and responds to items as appropriate; this may require interpretation, explanation, or defense of unit policies, guidelines, or functions.
- Composes correspondence and other documents that require the synthesis or integration of a variety of subject areas or the summation of the individual contributions of staff members or sub-units; transcribes written material that is highly technical and confidential in nature.
- Maintains an overall awareness of organizational activities of import or impact to the designated member(s) of the unit staff and the unit.
- Coordinates and expedites necessary actions regarding organizational activities and travel.
- Participates in the analysis, design, and implementation of office information systems; maintains procedures and recordkeeping systems to support the administrative functions performed by the unit.
- Authorizes fiscal transactions and keeps management informed of overall financial position: reviews and monitors fiscal transactions.
- Prepare reports and budget projections.
- Responsible for the course scheduling process, room scheduling and student enrollment duties.
- Provide event planning support.
- Act as liaison to Facilities with regard to maintenance/security issues and work order requests.
- Assist with entering faculty assignment of duties (AoD). Assist in overseeing the accuracy of faculty workloads (AoDs), adjust them upon chair instructions and enter information into Banner so the report generated is accurate.
- Assist with collecting office hours from each faculty for the semester. Compile for easy reference throughout the semester. Assure they are posted on faculty doors.
- Assist with assigning advisors to students.
- Assist with establishing and maintaining inventory records.
- Order office supplies
- Maintain syllabus files
- Assist with campus and US mail
- Update mailboxes for faculty and student clubs
- Keep calendar with faculty sick days and personal days, as well as your own
- Assist with handling textbook issue reports
- Keep department office neat and organized. Notify BSW to sweep/vacuum/wax floors as needed.
- Update plaques with student awards and student dean's list
- Assist with interviewing, hiring, scheduling and supervising student workers (including Federal Work-Study student workers).
- Perform duties listed in the lower level of this classification series.
- Performs other related duties as assigned.
Minimum Qualifications:
- High school diploma or equivalent.
- One of the following from the categories below:
- Four (4) years (48 months) of work experience performing office/clerical activities, including the use of computer systems.
- Two (2) years (24 months) of work experience as an Office Manager.
Work Hours
The core work hours of this position are 8:00 AM to 4:30 PM Monday through Friday. Position occasionally requires work beyond regular office hours, and summer hours will apply.
Salary/Pay Rate Range
- $18.50 - $28.50/hr.
- Final pay rate offered will be commensurate with experience.
