This is a unique, senior-level opportunity to partner with the SVP, CHRO to help navigate the daily complexities, find opportunities, solve challenges, set goals and explore new ideas to the benefit of our organization. The successful candidate will be skilled at performing critical administrative tasks which require the development of internal/external relationships with all levels from staff to executives, strong communication skills, flexible work methods and managing multiple, often overlapping priorities. Need to be able to trust this individual to deal with and safeguard confidential information.

Responsibilities:

  • Plan, organize, and execute meetings for the CPO. Prepare documents for all meetings in advance. This is inclusive of all travel related details and expense reports on return. Create presentations, spreadsheets, and other materials as needed with minimal guidance.
  • Provides support for all Board and related Board Committee meetings. Works with key players to gather necessary documents necessary and work with Legal to load those to Diligent. Ensures all meetings are scheduled on the CPO's calendar along with all necessary prep meetings at least one week in advance.
  • Ensures cadence and scheduling of Direct Reports meetings, the HR Officers Meetings, peer C- Suite Officers meetings and all outside Board meetings.
  • Schedules quarterly meetings and works with others to pull the presentations together.
  • May compose complex interpretative correspondence.
  • Arrange detailed travel plans and accommodations.
  • Navigate incoming phone calls and messages, answering inquires and general questions.
  • Process expense reporting, vendor payments, and purchase requisitions via PeopleSoft.
  • Develop strong working and personal relationships with leaders and admin staff throughout the organization. Exercise good judgement, strong communication skills, discretion, and confidentiality.
  • Serve as representative of Independence and CPO to external colleagues.
  • Exercises considerable judgment in performing administrative tasks and in scheduling best method to complete assignments. Discretion is required while doing non-routine tasks.
  • Other duties as assigned.

Qualifications

  • High School diploma or equivalent required. Undergraduate degree preferred.
  • Minimum 7 years administrative assistant experience supporting senior level management required.
  • Demonstrated excellent organizational, oral, and written communication skills required.
  • Position requires knowledge of personal computer/software including Microsoft office products (PowerPoint, Word, Excel) and Adobe Acrobat (PDF).
  • Customer focused professionalism is a primary requirement.
  • Proven ability to lead and act autonomously but also take direction as necessary

Independence has implemented a "Hybrid" model which provides our associates with the ability work in the office 3 days a week (Tuesday, Wednesday & Thursday) and remotely 2 days a week (Monday & Friday). This role is designated as a role that fits into the "Hybrid" model. While associates may work remotely, the work must be performed in the Tri-State Area of Delaware, New Jersey or Pennsylvania.
