JOB GOAL: Assist with ensuring the efficient operation of the school office and/or administrative department
Essential and Marginal FunctionsESSENTIAL FUNCTIONS:
- Organize and promote a welcoming customer-focused office.
- Provide primary secretarial services for the Principal/Assistant Principal/Department Supervisor as necessary.
- Facilitates meeting agendas, logistics, and meetings.
- Prepare, edit, and manage correspondence, communications, reports, presentations, maintain building/department social media accounts, and other documentations.
- Support the budget, inventory, and purchasing processes, including contract management.
- Manage complex projects as assigned.
- Obtain, organize, and enter pertinent data in an accurate and timely fashion.
- Establish and maintain records, filing and scanning systems.
- Assist in maintaining child accounting records as needed.
- Serve as a vital liaison for communication involving staff, students, parents, and community.
MARGINAL FUNCTIONS:
- Coordinate all clerical functions for the supervisor/department.
- Assist in providing building/department information and procedures.
- Maintain departmental policies, procedure manuals and work instructions.
- Must be willing to engage in ongoing professional development.
- Performs other related duties as assigned by supervisor.
QUALIFICATIONS:
- High School Diploma or GED required.
- Two years administrative support experience and/or equivalent training required.
- Knowledge of basic accounting and budgeting principles.
- Ability to operate a computer and applicable software and devices.
- Ability to communicate effectively, both orally and in writing, with strong knowledge of correct English usage, spelling, punctuation and grammar.
- Excellent organizational skills and attention to detail.
- Ability to demonstrate a high degree of customer service skills and professionalism.
- Ability to effectively organize and operate a welcoming customer-focused office.
- Ability to maintain confidentiality and exercise discretion.
- Ability to support a culture of equity, diversity, and inclusion.
- Ability to take initiative to creatively solve problems,
- Ability to work as an individual and as a team member.
- Ability to prioritize in order to meet strict timelines.
- Other qualifications to the above that the Board may find acceptable and appropriate.
