Shift/schedule: Full Time (36 hrs/wk)
GENERAL SUMMARY
Works under the supervision of the Administrative Director of Pharmacy/Respiratory Services. The Pharmacy/Respiratory Administrative Assistant’s primary job function is to perform general secretarial and receptionist duties for the department and assist with coordination of Pharmacy and Respiratory services. Assumes responsibility for various projects and provides clerical support. Assists with the administration of various pharmacy and respiratory programs. Prepares various routine reports and maintains departmental files. Performs other duties as assigned.
QUALIFICATIONS
Education:
• High School Diploma or successful completion of an equivalent High School Exam Required
• Computer courses preferred
Licensure:
• None
Experience:
• Six months of similar experience to learn office procedures preferred
• Working knowledge of Microsoft Word, Power Point and Excel required
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS
The following is a summary of the major job duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.
1. Enters pharmacy charges and squad replacement patient charges.
2. Keeps track of pharmacy staff's time, PTO days, call-offs, etc. for the Director of Pharmacy.
3. Prepare department timesheets for the Manager of Pharmacy.
4. Makes all travel arrangements for Pharmacy staff.
5. Prepare physician orders for jet forms.
6. Prepares various reports for the Directors, such as “Sales at Cost” integent drug use, etc.
7. Maintains Pharmacy and Respiratory departmental policies and procedures.
8. Gathers data for departmental dashboards.
9. Maintains updates for Drug Laws, Facts and Comparisons.
10. Performs day-to-day administrative tasks such as maintaining information files and processing paperwork.
11. Maintains the schedule for the Director of Pharmacy/Respiratory Services.
12. Manages the Institutional Review Board (IRB) organizational process.
13. Takes complete and accurate minutes for staff meetings and various IRB meetings.
14. Performs receptionist duties for department. Greets customers, assists customers with various requests, and directs customers to appropriate staff members.
15. Prepares Power point presentations, Excel spreadsheets and word documents for the Director of Pharmacy and Pharmacy and Respiratory managers
16. Coordinates all functions of the office to include filing, ordering and organization of supplies, etc. Performs general secretarial duties for the Director.
17. Gathers information and prepares various reports as required (i.e. weekly, monthly, annually and/or quarterly reports).
18. Maintains moderately complex department related records, files, and manuals.
19. Performs data entry, types, proofs, and edits department correspondence (i.e. memos, letters, minutes, and policies)
20. Performs other duties as assigned.
