Purpose Statement:

The job of Office Assistant was established for the purpose/s of providing secretarial support to the school site A + program; establishing and maintaining records; compiling and distributing materials and reports; and responding to inquiries from a variety of internal and external sources.

This job reports to A+ Coordinator.

Essential Functions

Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.

Compiles data (e.g. student grade point averages, average daily attendance, award and scholarship information, learning profiles, etc.) for the purpose of preparing reports or providing information.

Coordinates a variety of assigned projects and/or activities (e.g. supporting student tutoring opportunities, developing Extra Help pamphlet, setup for meetings, mentor program, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.

Maintains a variety of manual and electronic documents, files, and records (e.g. student profiles, college award and scholarship information, student assignments, tutoring opportunities, job shadowing opportunities, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.

Maintains inventory of supplies and materials for A+ programs for the purpose of ensuring items' availability.

Performs a variety of clerical activities (e.g. maintaining databases, reviewing and filing applications, telephone and email contacts, etc.) for the purpose of supporting the students and staff.

Prepares a variety of correspondence, reports, and other materials (e.g. letters, memorandums, pamphlets, required reports, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.

Researches a variety of topics (e.g. jobs for A+ students, community service opportunities, job shadowing experiences, tutoring services, guest speakers, etc.) for the purpose of providing information addressing the needs of A+ students.

Responds to inquiries from a variety of internal and external parties (e.g. students, parents, supervisor, counselors, teachers, administrators, community service representatives, employers, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.

Supports a variety of the A+ program activities (e.g. tutoring, conference period meetings, enrollment fair, etc.) for the purpose of ensuring the success of the programs.

Other Functions

Assists with a variety of school related responsibilities (e.g. fire drills, technology requests, office duties, attendance, health room needs, enrollment, senior checkout, copying, mailings, assemblies, etc.) for the purpose of supporting the effective and efficient functioning of the school site.

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements: Skills, Knowledge and Abilities (Minimum Qualifications)

Skill-Based Competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications; and preparing and maintaining accurate records; effective listening; guiding others; and interpersonal aptitude.
