Core Purpose

  • To support the Marine division with all their administrative needs.

Key Responsibilities and Accountabilities

  • Provide administrative support to vessel office departments, including Technical, Operations, HSEQ, and Crewing, as required.
  • Arrange accommodation, travel, and transport for all marine crew in line with OEG policies.
  • Provide on-call support for the marine crew when they are travelling should there be disruptions, ensuring it is in line with crewing duty rota.
  • Manage office travel where required.
  • Assist the Crewing Manager in collecting relevant information from new crew for issuing their SEAs.
  • Lead the recruitment of Deck Hands and assist the Crewing Manager in the recruitment of all other ranks as required.
  • Provide the Crewing Manager with the relevant information required for the issue of SEAs.
  • Assist in monitoring crew certifications and training to ensure compliance with Flag, Client, and OEG requirement.
  • Work closely with the Compliance Supervisor, ensuring all crew meet their training requirements.
  • Manage crew workwear and PPE in line with uniform allowances.
  • Maintain accurate records of crew training and travel expenses.
  • Provide regular crew-related cost updates to the Crewing Manager.
  • Track and administrate all vessel IT equipment, including laptops, phones, dongles and associated contracts.
  • Ensure weekly SOLDO spreadsheets are maintained and reconciled with vessel SOLDO accounts.
  • Assist the Compliance Supervisor in vessel procurement when the Procurement Manager is absent.
  • Support the Compliance Supervisor with monthly carbon reporting requirements.
  • Produce internal training certifications for vessel crew when required.
  • Ensure cover is in place for own absence, and that an office handover form is completed.

QHSE Responsibilities

To have a general understanding of the areas of our QHSE Management System and OEG's QHSE aims and objectives that are relevant to the role.

Comply with the requirements of OEG Energy Group Policies and the responsibilities within the wider QHSE Management System.

  • Excellent time management and multitasking skills.
  • Good communication and interpersonal skills with the ability to speak and write in a clear, concise manner.
  • Confident in making direct calls by telephone.
  • Able to organise and prioritise own workload.
  • Ability to work independently and as part of a team.
  • Good organisation skills with a high level of attention to detail and a focus on accuracy.
  • Ability to plan and manage competing priorities.
  • Good problem-solving skills with the ability to think laterally to provide prompt, practical, cost-effective solutions to challenges and problems.
  • A proactive approach to assessing the needs of each assignment, taking initiative where appropriate while also being confident enough to ask for help when needed.
  • Proficient in IT, with string skills in Microsoft Word, Excel, and PowerPoint.

Qualifications

  • Minimum of one year's experience in an administrative or coordination role.
