Experience managing calendars, scheduling meetings, and coordinating travel
Strong organizational and prioritization skills
Ability to handle confidential and sensitive information appropriately
Ability to follow established policies and procedures consistently
Strong written communication for preparing and reviewing responses
Ability to assess urgency and manage multiple tasks effectively
Preferred Skills and Experience:
Experience supporting senior executives (VP level or higher)
Experience providing guidance or supervision to clerical staff
Familiarity with emergency operations center support functions
Prior experience in a structured organizational or corporate environment
Experience handling high-volume administrative workflows
This position provides a wide range of administrative and general support services. The role may also function as a second-in-command support (second chair) to a Vice President or higher-level executive. Work is performed independently within established guidelines while ensuring adherence to organizational administrative and clerical policies and procedures.
Job Duties:
Ensures office administrative policies and procedures are followed and consistent with those established for the organization
Prioritizes the supervisors time through scheduling meetings, keeping the calendar, and making travel arrangements
Provides supporting material and information for meetings as directed
Processes proprietary/confidential matters and maintains confidentiality
Reviews incoming mail, assesses urgency, and prioritizes responses
Makes travel arrangements and requests reimbursement for travel expenses
Prepares and reviews responses in conformance to Client and the offices policies and procedures
May provide guidance to clerical staff
Serves in emergency operation centers as requested
Performs other duties as assigned
