Receptionist

- Are you skilled at managing the front desk, juggling phone inquiries, scheduling meetings, and keeping office administration on track simultaneously?
Join us as a Receptionist; you will report to the Sr. Manager, Facilities, and serve as the primary link between our guests and our team. You’ll manage visitor entry, coordinate phone and email correspondence, schedule meetings, and support internal events. We’re looking for someone who can balance these responsibilities with organization and discretion every day.
Key Responsibilities:
- Inbound Call Support: Answers and directs calls to the appropriate contact or department.
- Logistical Assistance: Supports the setup and coordination of internal events.
- Delivery and Shipping : Manages incoming deliveries and coordinates outgoing shipments carefully.
- Manage Distribution : Records messages and promptly relays them when staff are unavailable.
- Guest Reception: Serves as the first point of contact for all site visitors by greeting, providing clear directions within the building, answering guest questions, and promptly notifying the visitor’s host to ensure a smooth arrival and departure experience.
- Visitor Log Maintenance: Oversees sign-in and sign-out of building occupants.
- Front Entrance Monitoring: Observes the lobby area to assist with site access and ensure that all guests and contractors follow company entry procedures.
- Document Preparation : Drafts internal memos, correspondence, and labels.
- Reception Area Upkeep : Maintains the front desk and waiting area to ensure they are ready for use.
- Meeting Coordination: Welcomes guests upon arrival for group gatherings or business unit events; provides clear directions to meeting spaces; assists with logistics, such as sign-in; and ensures guests are connected with their hosts or event coordinators.
To Succeed, You Will Have
- A minimum of 1 year of experience
- Intermediate analytical skills to talk with customers and understand their needs in order to direct them to the proper contact.
- Basic project/process management skills to assist with open houses and special events
- Basic computer/technical skills to draft memos and letters in Google Workspace
- Intermediate time management and multi-tasking skills to respond to incoming calls and visitors
- Basic experience with visitor log, phone system, and card access system

The base pay actually offered may vary based upon the candidate's skills and experience, job-related knowledge, geographic location, and other specific business and organizational needs. - Compensation Range $43,000-46,000 annually.
