This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced, global environment. The ideal candidate will act as a trusted partner, ensuring seamless operations and enabling the SVP to focus on strategic priorities.ResponsibilitiesExecutive Support & Calendar ManagementManage a demanding and dynamic calendar across multiple time zones, ensuring optimal prioritization and conflict resolutionCoordinate complex domestic and international travel, including itineraries, logistics, and expense reconciliationServe as a gatekeeper and liaison, ensuring the SVP is well-prepared for meetings and engagementsMeeting & Event PlanningPlan, organize, and execute meetings, strategic events, and team offsitesPrepare meeting materials including agendas, presentations, and briefing documentsAttend meetings, capture notes, and ensure timely follow-up on action itemsCommunication & CorrespondenceDraft, edit, and proofread high-level communications, presentations, and reportsHandle sensitive and confidential information with discretion and professionalismAct as the point of contact between the SVP and internal/external stakeholdersProject & Department SupportCoordinate and support special projects and department-wide initiatives with minimal oversightBuild and leverage collaborative relationships with other Executive Assistants across the organizationManage global communications distribution lists and assist with internal communicationsBudget & Expense ManagementPrepare and review expense reports, ensuring compliance with company policiesManage purchase orders, facilitate invoice approvals, and track expendituresIdentify opportunities to optimize costs for travel and eventsQualificationsExperience3+ years supporting senior executives in a global corporate environmentProven experience managing complex calendars, travel, and eventsSkills & CompetenciesAdvanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel); experience with Teams, SharePoint, and procurement tools (Coupa) preferredExceptional organizational and time management skills with strong attention to detailAbility to prioritize and adapt quickly in a high-energy, fast-paced environmentStrong interpersonal and communication skills, both written and verbalHigh level of discretion and integrity in handling confidential informationCustomer-focused mindset with a commitment to service excellenceEducationBachelor's degree or equivalent experience preferredThe targeted pay range for this position in the following location is / locations are:United States - Redwood City Office GHQ : 84,000 - 126,000 USD / AnnualOur pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and location.The pay range shown is based on our compensation structure in place at the time of posting and may be updated periodically based on business needs. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.The targeted pay range listed reflects the base pay only and does not include bonus, equity, or benefits.
