Job Objective
The Administrative Assistant - Part 135 Maintenance is responsible for assisting the Director of Maintenance with various administrative tasks for the department.
Essential Functions
Schedule, organize, and set up meetings or conference calls, both online and in-person
Monitor and review weekly tasks and goals and provide support as needed
Monitor and assist with prioritizing the email account for the Part 135 Director of Maintenance
Collect and file documentation
Maintain digital files and records for the Part 135 Maintenance Department
Update the MX Recruiting Snapshot for the Weekly Management Huddle
Monitor Aircraft Modification requests, escalating matters when necessary
Audit and maintain spreadsheets containing maintenance information
Provide support for maintenance meetings and events
Communicate on behalf of the Part 135 Director of Maintenance, as requested
Other duties as required/assigned
Knowledge, Skills, & Abilities (KSA)
Prioritize and multi-task to meet deadlines
High attention to detail
Work successfully independently as well as in a team environment
Extreme focus on accuracy and timeliness in a high-volume atmosphere
Exemplary customer service, emotional intelligence, and communication skills
Proficient in Microsoft Office, Google Office suite, and Apple products and services
Intermediate knowledge of database management
Education & Experience
High School Diploma or equivalent
Associate's degree preferred
Previous experience in clerical work
Previous experience in the aviation/aerospace industry highly desired
Physical Demands
Prolonged periods sitting at a desk and working on a computer
Lift and/or pull up to15 pounds
Work Environment
Temperature controlled office
Limited exposure to outdoor shop with potential extreme cold and hot temperatures with loud noises
Work Status, Schedule, & Travel
Full-time
Monday-Friday, 40 hours per week
Occasional after hours as needed
No travel required
