Administrative Assistant - Parks/Cemetery

Under general supervision, performs daily work assignments for the Parks and Monte Vista Cemetery Divisions of the Parks and Recreation Department, in accordance with the Employee Manual, Department Policies and Procedures, City of Alamogordo Ordinances, and any applicable State or Federal authority.

RECRUITMENT QUALIFICATIONS

Required:

  • High school diploma or GED equivalent;
  • Three (3) years of administrative experience in an office environment;
  • Valid New Mexico Driver's License, or the ability to obtain one within 60 days, with a driving record acceptable to the City of Alamogordo (valid out-of-state license may be considered);
  • Or, any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

Desired:

  • Previous experience working with a cemetery or funeral home.

PRIMARY DUTIES AND RESPONSIBILITIES

Essential Duties

  • Prepares daily deposits and submit to Finance Cashiers maintaining the hard copy records of deposits per City requirements;
  • Performs accounting tasks including purchase requisitions, purchase orders, invoicing and reconciliation of all line item accounts, posting and tracking revenues and expenditures, balancing and reporting bills and statements;
  • Prepares and compile periodic statistical reports;
  • Assist with the budget process, including revision requests;
  • Maintain shot records and monitoring requirements for assigned staff;
  • Attends staff meetings, training sessions, and workshops as required;
  • Processes incoming and outgoing mail including regular trips to City Hall for mail runs;
  • Assist in other administrative work, and duties to ensure the smooth operation of the assigned divisions in serving their customers;
  • Effectively handles incoming and outgoing calls by answering questions and responding to inquiries and complaints from the public and City employees regarding general parks and cemetery inquiries, and concerns regarding schedules, operations, and services;
  • Process Cemetery Deeds to include logging in cemetery records books, recording deeds with appropriate state authorities and creating and issuing deeds;
  • Provides data entry and maintains correct records within the City Cemetery Software;
  • Communicates frequently with funeral home personnel to coordinate funerals and to keep them informed of burial records and locations;
  • Maintains records of Cemetery lot locations, section boundaries, and burial records;
  • Assists the public with the locations of cemetery lots;
  • Logs and generates work orders for assigned divisions and distributes non-emergency work orders to the appropriate division for completion;
  • Acknowledges, logs, provides data entry related to labor, equipment and comments to work orders; opens and processes work orders submitted by phone or email from the public and other City departments/divisions and provides a closure response as needed;
  • Performs data entry and maintains accurate time records for employees within assigned divisions using current payroll software; ensures that time, requests for time off, and exception reports are processed through and approved by the respective division supervisor;
  • Assists in maintaining departmental operations manual and other policies and procedures;
  • Provides proper documentation for tort claims and public records request, as needed;
  • Contributes to a high-quality work culture through participation in training and mentoring to develop skills, including safety-related training and skills;
  • Interacts professionally and provides excellent customer service to all levels of City staff and citizens, to ensure high operational and service standards; and
  • Performs duties in accordance with the Employee Manual, Department Policies and Procedures, City of Alamogordo Ordinances, and any applicable State or Federal authority.

OTHER IMPORTANT DUTIES

  • Maintains the confidentiality of information obtained during performance of duties; and
  • Performs such other duties as may be assigned.
