POSITION SUMMARY:The principal function of an employee in this class is to perform a variety of clerical and administrative support duties for the City Water & Irrigation Division. The work is performed under the supervision and direction of the Assistant Superintendent Administrative, but considerable leeway is granted for the exercise of independent judgment and initiative. The nature of the work performed requires that an employee in this class establish and maintain effective working relationships with assigned supervisors, other City employees, and the general public. The principal duties of this class are performed in a general office environment.

ESSENTIAL FUNCTIONS:

  • Provides administrative support to key departmental personnel in relation to clerical requirements.
  • Provides effective professional liaison between the Department and other City Departments, representatives from public agencies, area businesses, and the general public.
  • Provides excellent customer service in person, over the phone, and through email communication. Maintain professionalism during difficult customer interactions and resolve issues effectively.
  • Respond to customer questions, concerns, and service requests in a professional and timely manner.
  • Listens to and directs comments and complaints from the public relating to domestic and irrigation water and takes appropriate action to resolve and refer such complaints.
  • Interprets and applies departmental or office rules, policies, and regulations in accordance with prescribed procedures and guidelines.
  • Dispatches water and irrigation staff per citizen requests.
  • Prepares service request and work orders for Water Operators and Utility Technicians.
  • Gathers, assembles, updates, distributes and/or files a variety of information, forms, records and data as requested using traditional filing systems or databases as necessary.
  • Copies, packages and distributes a variety of written materials as requested by other designated office personnel.

  • Assumes responsibility for other duties as required or assigned.
  • Provides needed information and demonstrations concerning how to perform certain work tasks to new employees in the same or similar class of positions.
  • Keeps immediate supervisor and designated others accurately informed concerning work progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems.
  • Communicates and coordinates regularly with appropriate others to maximize the effectiveness and efficiency of interdepartmental operations and activities.
  • Is punctual and timely in meeting requirements of performance, including attendance standards and work deadlines.
  • Communicates information and states concerns in a clear and professional manner.

REQUIRED EDUCATION, EXPERIENCE, & LICENSE/CERTIFICATIONS:

  • Education: High School Graduate or General Education Degree (GED); Required
  • Experience: 2 plus years of experience in clerical/Customer Service expertise or any combination of experience and training which provides the equivalent scope of knowledge, skills, and abilities necessary to perform the work.
  • Computer Skills: Ability to operate computers using standard or customized software applications appropriate to assigned tasks and the ability and willingness to quickly learn and out use to new skills and knowledge brought about by rapid changing information and/or technology.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

  • Strong oral and written communication skills.
  • Thorough knowledge of Microsoft Office.
  • Thorough knowledge of GIS mapping.
  • Thorough knowledge of the City's Water System.
  • Thorough knowledge of Federal, State and City rules and regulations regarding the safe production and delivery of potable and non-potable water to the public.
  • Teamwork - Ability to work as a productive member of a cohesive group toward a common goal and contributing to team development and effective team dynamics.

  • The principal duties of this class are performed in a general office environment.
