Office Administrator
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting various administrative functions. This role requires strong computer literacy, excellent communication skills, and the ability to multitask efficiently in a fast-paced environment. Knowledge of plumbing materials is a plus, but not required. Experience with QuickBooks Online is highly advantageous for this position. The Office Administrator will play a vital role in maintaining smooth office workflows and ensuring client satisfaction.
Pay: $20.00 - $25.00 per hour, depending on experience and qualifications.
Full-time, Monday through Friday, 8:00 AM to 5:00 PM
Duties
Speak with customers to understand issues and schedule service calls quickly and efficiently
Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial record management
Provide customer support via phone, email, and in person, demonstrating excellent phone etiquette and customer service skills
Assist with inventory management and materials procurement processes
Use critical thinking to prioritize jobs and respond to customer needs
Dispatch technicians and coordinate daily service schedules
Handle customer concerns with patience and problem-solving skills
Process payments and assist with basic accounts receivable tasks
Follow up on outstanding invoices and assist with collections
Maintain accurate records, handle data entry, filing, and document proofreading to ensure accuracy and organization
Experience
Prior office management or administrative experience preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with QuickBooks or similar bookkeeping software (Minimum of 1 year)
Strong organizational skills with the ability to prioritize tasks effectively
Excellent written and verbal communication skills
Proven experience in customer service with a focus on client satisfaction
Ability to manage time efficiently while handling multiple responsibilities simultaneously
Knowledge of plumbing materials is a plus
