Position Summary

We are seeking a professional, proactive, and self-starting individual to join our team as an Executive Assistant. This role requires exceptional multi-tasking skills and a strong aptitude for executive-level administrative support. The primary responsibilities for this position include day-to-day operations for Executive Office professional work spaces and providing support as Personal Assistant to the owners of GN Associates.

Personal Assistant

Act as a trusted personal assistant to the owners of GN Associates Realty, Inc.

Manage calendars, appointments and scheduling

Travel arrangements

Database management for various private contact lists

Planning and management of events; both on-site and off-site when needed.

Assistance with philanthropic efforts

Prepare documents, reports and presentations as needed.

Knowledge of MS Excel and MS Word to include mail merge is necessary

Receiving and shipping packages when needed

Assist with personal errands and household coordination

Manage vendors, service providers, and appointments

Maintain organization of personal records and files

Coordinate with accountants, attorneys, or other professionals as needed

Qualifications

Proven experience as a Personal Assistant, Executive Assistant or similar role

Strong organizational and time-management skills

Excellent written and verbal communication skills

High level of confidentiality and discretion

Proficiency in MS Office, Google and scheduling tools

Familiarity with project management tools

Experience with managing both personal and business-related tasks

Ability to multi-task and prioritize in a fast-paced environment

Administrative Assistant for Executive Offices

Partner with the Executive Offices II Property Liaison to provide seamless office coverage and manage special projects.

Assist with marketing initiatives to ensure 100% occupancy, collaborating with the Marketing Coordinator on website updates, social media strategies, and networking events.

Serve as the first point of contact for prospective tenantsgreet them warmly, provide guided tours, and offer detailed information about leasing options, floor plans, availability, and amenities.

Assist as needed in preparing leasing documentation for new and renewing tenants using APPFOLIO Property Management Software. Monitor.

Handle tenant communications via APPFOLIO, coordinate service requests with the Maintenance Coordinator, and follow up on work order completions.

Maintain the daily upkeep of coffee and beverage stations and manage inventory for office and restroom supplies.

Qualifications

Minimum of 2-3 years of administrative or executive support experience

Approachable, with a positive attitude and a commitment to excellence.

Ability to handle sensitive information with professionalism, tact & discretion

Proactive and Detail-Oriented. Must be highly organized and adapt at working independently and as part of a team.

Self-starter

Effective Communicator with exceptional verbal and written skills

Technically Skilled

Proficient in MS Office Suite (Excel, Word, Outlook) and familiar with APPFOLIO or similar property management software.

Project Management software

Dependable and must possesses a valid driver's license and reliable transportation.

Additionally, the candidate must:

Manage highly confidential information

Be adaptable to changing priorities and business demands

Have flexibility to work occasional evenings and weekends

Be experienced working with high-level business owners

Compensation

This is an hourly position with the capability to earn overtime pay. The hourly rate is dependent upon the candidate's experience and the value they will bring to the company. Average start rate for this position is $23 to $28 per hour.
