Department: Adult Probation
Position Summary
Provide confidential clerical and administrative support for the Adult Probation Department. Organize files, prepare reports or documents. Completes a range of clerical tasks including sorting incoming mail, preparing and submitting requisitions.
Essential Duties and Responsibilities
- Greets public, answers phones, and directs clients to appropriate staff.
- Prepares, proofs and processes confidential reports for agency staff.
- Collects, prepares, and distributes incoming/outgoing mail.
- Assists probation staff with a variety of reports and projects.
- Enter client/case information into the agency database.
- Sets up files, closes files, and keeps file information current.
- Produces expungement forms for eligible clients to agency staff.
- Prepares/Assists with the annual department budget and maintains ledger.
- Acts as agency computer resource person in solving basic computer problems and development of forms, graphs, brochures, and power points, etc.
- Colllects probation fees and class payments from clients.
- Directs clients to waiting area.
- Maintains and keeps forms and manuals updated.
- Attends workshops and training as needed to maintain job responsibilities.
- Works closely with probation staff, clients, Court Administrator staff, law enforcement
records, and general public.
- Other duties as assigned or apparent.
- Regular attendance is required.
- Attending meetings and training, as needed.
- Produce court dockets on a daily basis to each probation officer.
Qualifications
Education Requirements
- Must have a high school diploma AND one of the following:
- Legal Secretary Certificate; OR
- Two years full-time experience in the corrections/legal clerical field; OR
- Three years full-time experience in an administrative assistant role.
Other Requirements
- Must possess a valid driver's license and be able to drive in the state of Tennessee.
- Must be able to take deposits to the Finance building twice a week.
- Pass criminal history check.
- Knowledge of legal system preferred.
- Bi-lingual: Fluency in English and Spanish is highly preferred but not required.
- Must be able to work Monday through Friday, 8 A.M. to 4:30 P.M.
Knowledge, Skills and Abilities
- Bookkeeping skills
- Ability to multi-task in a fast paced environment
- Experience with Microsoft support and maintenance.
- Experience with iSoms and/or TnCIS is preferred.
- Excellent inter-personal communication, written, and verbal communication skills.
- Above average knowledge of basic computer and technical skills.
