Position Overview:
The Fund Advancement Coordinator, under the direction of the Vice President of Fund Advancement, is responsible for coordination and assistance of all Fund Advancement efforts. Key to this role is assisting staff with any administrative tasks, including scheduling and documentation. The Fund Advancement Department is a shared service of Bluestem Communities, so this position will include knowledge of staff, residents, and participants at all Bluestem Communities locations.
Essential Job Functions:
Provide primary administrative assistance for VP & Fund Advancement Department, including scheduling, email, phone calls, note-taking, agendas, and other documentation and projects
Remain aware of staff priorities and calendars, so as to provide helpful communication assistance to all
Maintain donor records, including receipt and acknowledgement of all donations and gifts
Manage mailings and other correspondence
Coordinate with Marketing/Fund Advancement fulfilling project deadlines
Compile key metrics and interpretation/summary of data on a regular basis
Create reports, spreadsheets, trend sheets, and other data as requested
Lead planning and implementation of the Bluestem Gala and Bluestem Visionaries events, and other special events and functions as they arise
Serve as the planner and Host for Fund Advancement meetings and events, including office visits, gatherings, and other activities
Coordinate and Host the Former Board Member Gathering
Remain aware of key donor, sponsor, and stakeholder life and business engagement and apprise staff as appropriate
End of Month/Yearly reports reconciled with finance
Engage with donors and stakeholders as directed
Collaborate with Administrative Assistants on all campuses as needed
Qualifications and Experience:
Must be eighteen [18] years of age
Prefer associate’s degree, two to three years of college or three-years of related experience in administrative, accounting or marketing position
Prefer prior experience using fund advancement software
Must be able to commute between multiple locations and physical environments
Physical Requirements:
Light Work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently. Requires walking or standing to a significant degree; or requires sitting most of the time but entails pushing and/or pulling of arm or leg controls.
