Description Dominion Women's Health, Inc. I. Primary functions/General purpose of position: Front Desk Staff who work at the front desk are employed to assist Dominion Women's Health, Inc. patient care. Under the direct supervision of the Office Manager, the front desk staff is responsible for assisting with the administration and organization of the front desk area. Maintains confidentiality and complies with HIPAA regulations. II. Employment Qualifications: Some college preferred Excellent telephone skills Exceptional customer service skills Bilingual (Spanish) preferred Ability to maintain a positive attitude and handle delicate situations appropriately with patients Ability to read and write in order to accurately process required information. Analytical ability necessary in order to maintain systematic orderly records Knowledge of word processing and database software, office equipment, and accurate data entry skills Basic medical terminology usually acquired through 3-6 months of on the job experience Basic Insurance terminology usually acquired through 3-6 months of on the job experience Effective verbal and written communication and customer service skills Critical thinking skills, ability to identify, recommend and implement action plans to resolve issues Must be willing to submit to a background investigation, including for example, verification of your past employment, criminal history, and educational background as well as drug screening Ability to multi-task in a high volume area III. Essential Job Functions: Greet patients, direct all people to the appropriate location and services; be courteous, polite and helpful to the public and patients at all times Determine the financial status of patients and their health insurance eligibility. Assist patients in accurately completing appropriate forms, and document all information. Collect and post fees according to protocols, prepare and balance daily financial journals and submit all forms and fees to the Office Manager. Checking-in and out patients, registering new patients, scheduling appointments, answering phone calls, taking messages Check patient names against Daily Appointment Schedule Setting-up patient's reminder calls everyday Insurance Verification including eligibility, benefits & authorization as needed Scanning documents to patient's electronic medical record Maintain forms and office supplies required for front desk activities Schedule appointments for patients according to established procedures Complete medical records requests per office policy Scheduling procedures, induction of labor, office appointments Respect and maintain privacy and dignity of patients; assure client confidentiality at all times Adhere to all office policies as well as OSHA, HIPAA, state, federal & insurance requirements Willing to work at any of Richmond area offices (Midlothian, Richmond, St.Stephen's Church) as needed Other duties as assigned Return Mail updates IV. Other Job Functions: Identifies problems both proactively and retrospectively, recommends corrective action. Maintains appropriate back-up files and archives information as required for future retrieval Participate in staff and educational meetings V. Computer or Equipment to be operated: Fax machine, copier, computer (Intergy, Intergy EHR, Internet, Microsoft Office, Google Suite), telephone, calculator, credit card machine, postage machine. VI. Working Conditions: Works in both office and patient care environments where there are few physical discomforts. The incumbent must have the ability to access various areas of the office in order to perform the essential functions of the position.
