Additional InformationThe Warranty Administrator / Data Entry Clerk is responsible for the accurate and timely processing of all warranty and service-related documentation. This role ensures compliance with manufacturer policies, proper claim submission, and efficient data entry to support dealership operations and maximize warranty reimbursement.Key Responsibilities
Warranty Administration
Prepare, review, and submit warranty claims in accordance with Hyundai Motor America guidelinesVerify repair orders (ROs) for completeness, accuracy, and proper documentationEnsure correct labor operations, times, and causal parts are usedMonitor and follow up on all outstanding, rejected, or pending claimsProcess warranty cancellations and adjustments when requiredMaintain organized records of all warranty documentation
Data Entry / Administrative Support
Accurately enter repair order data into the dealership management system (DMS)Review closed ROs for proper coding, technician notes, and story clarityAssist in correcting errors prior to claim submissionMaintain daily logs and reports related to warranty and service activity
Compliance & Audits
Ensure all warranty submissions meet manufacturer and dealership standardsPrepare for and assist with warranty auditsIdentify and flag potential compliance issues or missing documentation
Communication
Work closely with Service Advisors and Technicians to gather required informationCommunicate claim issues, corrections, or missing details promptlyCoordinate with management on warranty trends and problem areas
Qualifications
Previous experience in automotive warranty administration preferredFamiliarity with Hyundai warranty systems (or similar OEM platforms) is a plusStrong data entry skills with high attention to detailKnowledge of dealership operations and repair order flowProficiency in DMS systems (CDK, Reynolds & Reynolds, etc.)Strong organizational and time management skills
