Description: The Activities Administrative Assistant provides secretarial support to the Activities Director, principals, head coaches, and advisors; prepares reports and maintains budget records, payroll and cash receipts; processes invoices and purchase orders; and assists students, parents, coaches, and others in a manner which assures the school or department office will function effectively and properly.
Job Summary:
1.) Provides secretarial support to the Activities Director, principals, head coaches/advisor's in maintaining budgets, including: ordering supplies, processing payments of purchase orders and invoices and purchase cards, recording revenues and expenditures, making bank deposits, and preparing monthly and quarterly budget reports, etc., so that budget records are accurate and up-to-date and are within established budgetary limitations.
2.) Provides secretarial support services to the Activities Director, principals, head coaches/advisor's, including: typing letters, forms, and bulletins; preparing/updating websites, newsletters, and reports; taking meeting minutes; making appointments; accurately tracking officials/bus times/game workers; accurately tracking student eligibility status; maintaining files and records; operating and maintaining office equipment; and issuing student passes. May sell, take and/or tally tickets for various school events.
3.) Collects, verifies, and reports hourly payrolls of game workers.
4.) Perform activities such as answering telephone calls, greeting visitors, taking messages, and responding to students, coaches/advisor's, parents, and others' questions and inquiries so that effective school or department communications, and office operations, are established and maintained.
5.) Compile data and prepare appropriate state and year-end reports, i.e., state department, attendance, The Minnesota State High School League and other school district reports, so that reports are prepared and submitted in an accurate and timely manner.
6.) Prepare school Activities registration and scheduling materials, and assist the Activities Director, coaches/advisor's, and students in registration procedures, so that activities proceed in an optimum manner. Organizes registration and registers students over the summer and updates the student information system.
7.) Provides support to the Activities Director, principals, and head coaches/advisor's in coordinating building activities such as preparing building activity schedules, communicating custodial needs, and making building activity arrangements so that building activities are effectively coordinated and implemented.
8.) Work with other office staff in maintaining records and files, i.e., health records, cumulative folders, permanent records, and enrollment cards, so that records are accurate and up-to-date.
9.) Oversee the organization and updating of trophy cases.
10.) Performs other job-related duties.
