POSITION: Data Entry Clerk

JOB SUMMARY:
The Dougherty County School System is seeking a highly organized and detail-oriented professional to serve as a Data Entry Specialist within the Facilities Services Department. This position plays a critical role in supporting the daily operations of maintenance and facilities by managing and processing work orders, coordinating service requests, and ensuring timely communication between schools and maintenance staff. The ideal candidate will be able to prioritize tasks in a fast-paced environment, respond to urgent facility needs, and maintain accurate records to support efficient and effective service delivery across the district.
MINIMUM QUALIFICATIONS:
- High school diploma or GED required;
- Minimum of 23 years of experience in maintenance coordination, dispatching, facilities operations, or a related field;
- Basic knowledge of building systems (HVAC, plumbing, electrical, and general maintenance);
- Experience using Brightly (SchoolDude) a Computerized Maintenance Management System or similar work order system preferred;
- Strong organizational and time management skills with the ability to prioritize multiple tasks;
- Effective communication and customer service skills, both written and verbal;
- Proficiency in standard office software (e.g., Microsoft Office, email systems);
- Ability to work in a fast-paced environment and respond to urgent situations calmly and efficiently;
- Such alternatives to the above qualifications as the Superintendent and the Board may find appropriate.
SKILLS AND ABILITIES:
- Familiarity with school safety standards and compliance requirements;
- Knowledge of inventory tracking or purchasing processes.
PERFORMANCE RESPONSIBILITIES:
- Receive and process maintenance work orders from schools and district departments (e.g., principals, custodians, administrative staff);
- Prioritize requests based on urgency, with special attention to student/staff safety, security, and instructional impact;
- Dispatch maintenance technicians to schools and facilities based on trade (HVAC, electrical, plumbing, carpentry, etc.) and workload;
- Coordinate scheduling to minimize disruption to the instructional day and school activities;
- Monitor and track the status of all work orders using the district's CMMS (Computerized Maintenance Management System);
- Communicate regularly with school staff regarding work order status, delays, and completion timelines;
- Respond quickly to emergency situations (e.g., HVAC failures, plumbing issues, electrical outages, safety hazards);
- Reassign or escalate work orders as needed to ensure timely resolution.
- Operational & Administrative Duties:
- Maintain accurate documentation of work orders, labor hours, materials, and completion details;
- Generate reports on response times, backlog, and maintenance trends to support decision-making;
- Assist with planning and scheduling of preventive maintenance across all schools and facilities;
- Coordinate with vendors and contractors for outsourced work and ensure proper documentation is received;
- Support inventory tracking of maintenance supplies and parts in coordination with warehouse or purchasing staff;
- Ensure compliance with district policies, safety standards, and applicable regulations.
- Customer Service & Coordination:
- Serve as the primary point of contact for schools regarding maintenance requests & dumpster services;
- Provide professional and timely customer service to principals, teachers, and support staff;
- Follow up to confirm satisfaction with completed work and address any outstanding issues;
- Collaborate with maintenance supervisors and leadership to improve efficiency and service delivery;
- Performs other such duties needed or assigned by the Supervisor.
PHYSICAL REQUIREMENT:
- Ability to stand, walk, and move throughout the classroom for extended periods of time;
- Ability to occasionally lift or move instructional materials and classroom supplies (up to approximately 25 pounds);
- Ability to bend, stoop, kneel, and assist young students as needed;
- Work is performed primarily in a classroom environment with moderate noise levels typical of a school setting;
- Requires frequent interaction with students, staff, and families throughout the school day.
REPORTS TO: Interim Director of Facilities Services
SALARY RANGE: Twelve-month annual contract- Competitive salary and excellent benefits package, in accordance with the DCSS Compensation Guide.
