Established in 1980, the Greater Lawrence Family Health Center (GLFHC) is a multi-site, mission-driven, non-profit organization employing over 700 staff whose primary focus is providing the highest quality patient care to residents throughout the Merrimack Valley. Nationally recognized as a leader in community medicine (family practice, pediatrics, internal medicine, and geriatrics), GLFHC operates multiple clinical sites throughout the service area and serves as the sponsoring organization for the Lawrence Family Medicine Residency Program.
Position Summary: Provides support for providers and other clinical staff in the maintenance, retrieval, and use of the patients' paper and electronic health records. Provides support and guidance for other HIM Clerks. Adapt skills to cover all HIM offices throughout the Health Center. Functions with minimal supervision and applies independent judgment to issues with significant potential impact on the Clinic. Although each Health Information Clerk will be assigned to a specific function, all Clerks will be responsible for knowing how to perform all the functions performed in the Health Information Management (HIM) Department.
Key Responsibilities
- Provide customer service support to patients and staff requesting health information
- Ensure completion and accuracy of release of information and transfer documentation
- Process daily mail, faxes, and incoming documentation
- Scan, index, and maintain patient records within the electronic medical record (EMR) system
- Prioritize time-sensitive documents, including newborn and clinical reports
- Complete referral order updates related to indexed consult and radiology reports
- Maintain departmental logs and tracking tools as required
- Retrieve, review, and process correspondence and documentation
- Support legal name changes and demographic updates within the system
- Answer phones and respond to inquiries in a timely manner
- Provide guidance and day-to-day support to HIM clerical staff
- Assist with training and onboarding of new HIM staff
- Identify workflow or process improvement opportunities
- Maintain strict confidentiality of patient medical information
- Travel between sites as needed
Qualifications
- Minimum of 2 years of experience as a Health Information Management Site Clerk
- Computer proficiency and comfort working within EMR systems required
- Strong communication and customer service skills
- Excellent organizational and documentation accuracy skills
- Ability to function with minimal supervision
- Ability to apply independent judgment in a fast-paced environment
- Bilingual (English/Spanish) skills strongly preferred
- Understanding of medical terminology preferred
- Ability to work some evening and/or weekend hours
Education
- GED or High School Diploma required
