Administrative Specialist-AFTA (Part-time)

The Administrative Specialist I will work under the supervision of the Director, Deputy Director, or a Division Manager of the Arkansas Fire Training Academy. This position is responsible for reception, typing and providing clerical support to supervisory and professional staff, student data, and other clerical functions. This position is governed by agency/institution policy.
This is a part-time position working 28 hours per week. ESSENTIAL FUNCTIONS STATEMENTS:
Specifically, the job assignment includes but is not limited to:
Answer incoming calls and emails for the Fire Academy
oDirect caller to the appropriate person with a pleasant demeanor
oEnsure proper person receives the message
oHandle call or email appropriately
Utilize records management system
oEnter student information in database extensively
?Thoroughly and accurately
oHandle requests for transcripts
oEnsure prerequisite(s) requirements have been met
oCreate class rosters
oPrint and send certificates
Operate office equipment such as fax and copy machines
Perform general duties
oGreet guests
oKeep work and other areas clean and orderly
oAssist students with requests, directions, IDs, or direct to the appropriate person
oManage complex administrative calendars
oParticipate in organization and institutions goings on such as job fairs and other student driven initiatives at the Fire Academy, SAU Tech, or other locations as requested and able
Perform related responsibilities as requested or assigned
POSITION QUALIFICATIONS
MINIMUM QUALIFICATIONS:
Must be able to perform each essential duty listed
Experience with typical computer software programs specifically Microsoft Office
Drivers License
Background check required
PREFERRED QUALIFICATIONS:
2 years of experience in an office setting
Prior experience at SAU Tech or in Fire Service Training
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of grammar, punctuation and spelling
Knowledge of general office procedures
Knowledge of basic record-keeping procedures
Must be a self-starter and driven
Ability to think proactively and function independently
Ability to extract and organize information
Use organizational equipment to input, review, and access records and other software programs
Perform data entry relevant to record keeping and maintain required records and test
