NATURE OF WORK : Under general supervision, performs administrative work of considerable difficulty in support of the Probation Department. This includes a variety of administrative duties, executive projects, and multi-department teams; performs a wide variety of highly responsible and sensitive administrative support duties to the highest level of leadership; performs related duties as assigned.As defined under the Americans with Disabilities Act, may include any of the following tasks, knowledge, skills, and other characteristics. TYPICAL DUTIES : (Illustrative Only) Performs work in a high-paced and dynamic office setting that requires adaptability depending on executive leaderships needs; provides comprehensive administrative support to executive leadership; coordinates tasks and functions supporting the missions of the court, division, and/or department; performs efficient and effective multi-disciplinary administrative management; screens and manages telephone calls, visitors, and mail based on urgency and nature of contact; maintains calendars, schedules meetings, and coordinates appointments; prepares agendas, takes minutes, and produces reports of proceedings; arranges travel and attends training at other offices as required; drafts, edits, and prepares correspondence and documents for internal and external use; reviews incoming correspondence and drafts responses under delegated authority; maintains and oversees public and confidential administrative and personnel records; creates and drafts procedures as requested; conducts complex research and responds to detailed inquiries; answers questions and provides information and tools to promote effective communication and learning; responds to requests for information and assistance from diverse stakeholders; manages confidential and sensitive information with integrity; follows all Cochise County policies and procedures; promotes workplace values of accountability, commitment, and teamwork; initiates, coordinates, manages, and completes special projects and assignments that may be ongoing, intermittent, or one-time assignments.High school diploma or equivalent and four (4) years progressively responsible administrative experience with at least two (2) years supporting management level positions. Must be able to type 45 net words per minute. Must possess and maintain a valid Arizona drivers license and the ability to be covered by county insurance.
An equivalent combination of education and/or experience from which comparable knowledge, skills, and abilities have been achieved may be considered.
PREFERRED QUALIFICATIONS : Preference may be given to individuals who speak English and Spanish.
Considerable knowledge of:
- principles and practices of office administration;
- staff research work, business English, and report writing;
- software applications within the Microsoft Office Suite;
- organizing and managing complex operations with attention to detail and accuracy.
Working knowledge of:
- file and records management operations;
- guidelines, regulations, and statutes affecting the department or ability to obtain;
- legal and/or court documents record-keeping and retention practices and record-filing practices;
- court procedures and services.
Skill in:
- deescalating and resolving customer concerns and issues;
- self-control, patience, initiative, courtesy, tact, and diplomacy;
- organizing and managing complex operations with attention to detail and accuracy;
- multitasking and performing a variety of tasks;
Ability to:

WORK ENVIRONMENT : Work is primarily performed under general supervision. Incumbent generally performs work in a typical office setting with appropriate climate controls.
PHYSICAL REQUIREMENTS : Essential functions of this position require: Lifting up to 10 pounds, manual dexterity, ability to communicate.
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body; involves sitting majority of time; walking and standing are required, and all other sedentary criteria are met.
Mental Application: Utilizes memory for details and verbal instructions, requires emotional stability, empathy, critical thinking, adaptability and creative problem-solving skills.
