The Receptionist plays a vital front-line role in representing GoGivers Family Services by providing a welcoming and professional experience for youth, families, and agency partners. This role supports daily office operations, facilitates communication between departments, and ensures essential documentation and meetings are coordinated and properly documented.

Responsibilities

1. Front Desk & Communication

  • Greet all visitors warmly and professionally
  • Answer and direct phone calls, take accurate messages, and manage email communications
  • Maintain a clean, safe, and organized front reception area
  • Manage all incoming/outgoing mail and package deliveries

2. Meeting Coordination

  • Join child, family, and team meetings as required
  • Take clear and concise notes during meetings
  • Identify and communicate all action items related to GoGivers to the relevant team members
  • Send timely reminders to families and staff about upcoming meetings
  • Reach out to families ahead of meetings to gather necessary updates

3. Client Intake Support

  • Conduct initial client intake assessments
  • Review and explain client policies and procedures to families/youth
  • Collect signatures on all required documents and scan/upload to the Compliance team

4. Compliance Coordination

  • Collaborate with the Compliance team to ensure necessary appointments (e.g., medical, therapy, licensing requirements) are scheduled and/or completed
  • Follow up with staff and families to confirm appointments and share updates
  • Follow up with caseworkers to obtain necessary paperwork related to the client, such as MSA (Master Service Agreement) and RSA (Referral and Service Authorization)

5. Administrative & Clerical Support

  • Schedule staff appointments and meetings upon request
  • Maintain accurate records and organized files
  • Perform data entry, document scanning, photocopying, and basic reporting
  • Monitor office supply inventory and reorder when needed
  • Provide general clerical support to office and program staff
Qualifications

Qualifications:

  • High school diploma or equivalent (Associate's degree preferred)
  • Previous receptionist or administrative experience preferred
  • Excellent interpersonal and communication skills
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office and basic document management systems
  • Ability to maintain confidentiality and professionalism
  • Familiarity with foster care or social services a plus
Additional Information

Schedule & Compensation:

  • Full-time | MondayFriday
  • Pay based on experience and agency scale
  • Must be willing to complete a background check and any agency-required trainings
