Position Title: Receptionist

Reports to: Executive Director

Date: 08/2025 Department: Tec Centro Lebanon

FLSA Status: Full-Time; Non-Exempt, 37.5 hours/week

Working hours for this position consist of a 37.5-hour work week, Monday - Friday, between the hours of 8 am and 5 pm. Specific hours will be discussed and scheduled. At times, this position may require evening and occasional weekend hours depending on its requirements.

Salary: $18-20 per hour.

POSITION SUMMARY

We are seeking a friendly, organized, and detail-oriented Front Desk Receptionist to be the first point of contact for our organization. The receptionist will interact with Company staff, clients, students, customers, delivery staff and other visitors throughout the day The ideal candidate will provide exceptional customer service, handle front desk operations, and support administrative functions to ensure smooth daily operations.

KEY RESULTS AREAS

Greet visitors, clients, and staff in a professional and welcoming manner.

Answer, screen, and direct incoming calls and emails.

Maintain the reception area to ensure it is clean, organized, and presentable.

Schedule and confirm appointments, meetings, and conference room bookings.

Handle incoming and outgoing mail, deliveries, and packages.

Maintain accurate visitor logs and issue access badges when necessary.

Assist with data entry, filing, and record-keeping.

Provide general administrative support to staff and management.

Order and maintain office supplies/inventory.

ACCOUNTABILITIES

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Greet visitors and clients, determine the purpose of the visit, and direct them according to needs.

Display professional and welcoming demeanor at all times.

Answer and screen phone calls, transfer calls as needed, schedule appointments, place reminder calls and provide information regarding programs and services.

Add visitor contact information to the program database.

Provide information about events, programs, services provided, workforce training programs, and classes.

Maintain program waiting lists and follow up with prospects and current students regarding next steps.

Contact students prior to orientation, advising of changes in class schedule/cancellation, etc.

Ensures that the common office area is maintained/stocked with necessary materials, such as copier paper, staples, envelopes, etc.

Responsible to maintain company's general email inbox and website inquiries.

Operate standard office equipment including copy machines, computers, and phone systems.

Assist with event planning and event/program promotion and follow up, as required.

Enter client information into database systems, digitize files and run reports as required.

Receive deliveries, sort, and distribute mail.

Follows company policies and procedures.

Occasionally, may be required to assist with events and/or attend meetings outside of normal business hours.
