Responsibilities
- Interact with partners, clients, residents, onsite teams, vendors, and fellow team members with a high level of professionalism and courtesy that leaves a good impression, builds upon a solid reputation, and supports company culture.
- Greet visitors in a polite and friendly manner upon arrival. Assist visitors in navigating the office and reception areas or meeting room. Offer and supply visitors with refreshments. Validate any guest parking.
- Answer multi-line telephone system in a professional manner and route calls accordingly.
- Receive and sort mail for review by supervisor before dispersing.
- Receive shipments, move to storage area, then notify recipients to retrieve packages.
- Always keep the front desk tidy and free of clutter.
- Maintain reception area and all common areas in a clean and tidy manner at all times.
- Monitor and tidy meeting rooms and flex office spaces throughout the day.
- Manage availability and reservations for meeting rooms and flex office spaces.
- Monitor and tidy kitchen area throughout the day. Start dishwasher in the evening, unload in the morning.
- Monitor inventory of drinks, snacks, etc. and restock as needed between vendor restocks.
- Maintain inventory of office supplies and order replacements as needed with supervisor approval.
- Maintain workplace access by issuing, monitoring, and collecting office and building key fobs and mobile credentials, as necessary.
- Coordinate internal events, such as breakfast or lunches.
- Coordinate office services or maintenance requests with building management and supervisor.
- Fill in as an administrative assistant, accounts payable clerk, or accounts receivable clerk, performing those duties should the need arise.
- Support Treasurer and Office Manager.
- Follow established policies and procedures regarding handling sensitive partner, client, vendor, or resident information.
- Maintain digital records in OneDrive and other management systems.
- Follow company policies regarding documents retention.
- Maintain professional appearance, and predictable and consistent attendance.
- Know and comply with all policies and procedures, including Fair Housing Laws.
- Maintain compliance with LMS courses.
- Comply with all OHSA regulations and health, safety policies/procedures and environmental laws Report all unsafe activities and incidents to Corporate HR.
- Performs other duties as assigned.
- No supervisory responsibilities.
Requirements

- Familiarity with Yardi and OneSite

- High School Diploma or GED equivalent
- One to three years experience
- Strong telephone etiquette
- Competency to read and write simple instructions, short correspondence, and memos.
- Competency in Microsoft Office Applications including Word, Excel, Outlook, and Teams.

- Reliable transportation
