LOCAL EMPLOYER is seeking a motivated and organized individual to join our team in a front-facing role. As a valued team member, you will be the first point of contact for our clients, partners, and visitors, providing exceptional customer service and ensuring smooth communication within our organization. Background check and Drug Screening are required for this position due to cash handling responsibilities. BI-LINGUAL preferred but not REQUIRED!
**Key Responsibilities:**
- **Greet Visitors:** Welcome and assist clients, vendors, and other visitors with courtesy and professionalism.
- **Telephone Management:** Handle incoming calls, route them to the appropriate personnel, and take messages accurately.
- **Information Dissemination:** Provide accurate and timely information to inquiries from the public and staff, both in-person and over the phone.
- **Scheduling and Coordination:** Manage calendars, schedule appointments, and coordinate meetings for staff and management.
- **Data Entry and Record Keeping:** Maintain and update company databases and records, ensuring all information is accurate and easily accessible.
- **Mail Handling:** Sort, distribute, and prepare outgoing mail efficiently, including packages and deliveries.
- **Office Supplies Management:** Monitor and manage inventory levels of office supplies and place orders as required.
- **Administrative Support:** Assist with various administrative tasks, such as filing, copying, and scanning documents.
- **Security and Compliance:** Ensure compliance with all company policies and procedures, maintaining confidentiality and discretion at all times.
- **Problem Solving:** Address and resolve any issues or concerns that arise in a timely manner, escalating to management when necessary.
**Skills and Qualifications:**
- **Communication Skills:** Excellent verbal and written communication skills, with a friendly and professional demeanor.
- **Organizational Skills:** Strong organizational and multitasking abilities, with an attention to detail.
- **Computer Proficiency:** Familiarity with Microsoft Office Suite (Word, Excel, Outlook), and the ability to learn new software and systems quickly.
- **Interpersonal Skills:** Ability to work collaboratively in a team environment and interact effectively with diverse personalities.
- **Time Management:** Demonstrated ability to prioritize tasks and manage time effectively under pressure.
- **Problem-Solving Skills:** Proactive approach to identifying and resolving issues efficiently.
- **Experience:** Previous experience in a receptionist or clerical role is required, will also train as needed.
