Position Summary Reporting to the Planning Manager, the Data Entry Clerk will be responsible for keeping all production and quality records by entering into the SAP application as well as invoicing. This position will work with Production, Quality, Logistics, Customer Service, Warehouse Inventory Coordinator, and Production Planning Manager to ensure that the flow of paperwork is accurate and timely completed. The ideal candidate must possess a great attention to detail and be able to work in a fast-paced environment. They will need to be able to prioritize multiple tasks and communicate effectively with various teams to ensure process and documentation is recorded accurately. Position Responsibilities
- Compile and record all production data such as customer orders, work orders, product specification, and individual worker production sheets into SAP.
- Work with individual departments on any discrepancies between production information and SAP data.
- Key all production information into SAP.
- Scan all quality data from production to OGBS for keying.
- Responsible for accumulating all documentation for each Production Order
- Plant Production
- QA Analysis
- Grade, Aflatoxin, and any other requested testing documents
- Shipments
- Sales Orders (Copy of Sales Order for every shipment).
- Assist with monthly and year-end physical inventory and report any discrepancies to management.
- Create all invoices from production and any other charges including freight claims, quality notification credits, returns, byproducts, etc.
- Responsible for maintaining the status of all active freight claims and quality notifications with potential credits.
- Scan and mail all invoices to the customers within 24 hours after approval.
- Scan all final production packets into the NetShare system.
- Scan quality, production, and invoice creation to OGBS as needed to keep them trained as a backup.
- Perform other duties as assigned.
- High School Diploma is required. One (1) year of previous related experience or training will be accepted.
- Strong oral and written communication skills are required.
- Strong people skills, customer service skills, and motivation is required.
- Strong mathematical proficiency is required.
- Excellent computer skills including Microsoft Office is required.
- Previous experience in SAP is strongly preferred.
- Ability to work in teams and collaborate effective with people in different functions is required.
