Cranfill Sumner LLP is looking for a Receptionist to join the team in our Wilmington, NC office. A Receptionist assists attorneys and legal staff in their day-to-day work, enhances attorney and staff effectiveness by providing administrative support and excellent customer service, and represents the attorney and firm to clients, legal professionals and other matter related individuals.

Primary Job Responsibilities:

The Receptionist position may require some or all of the following duties:

  • Manage and direct incoming calls;
  • Greet clients and escort them to the proper room;
  • Maintain multiple conference room calendars, including but not limited to obtaining all necessary information regarding room set up, number of people, and times, as well as lunch, and technology needs;
  • Coordinate with vendors for meeting lunches;
  • Distribute incoming faxes;
  • Process and distribute incoming hand deliveries;
  • Process client credit card payments;
  • Assist with Absence Notification emails and phone calls for designated office, as needed;
  • Conference room set up, as needed;
  • VTC set up, as needed;
  • Maintenance of Conference Rooms and Servery Area, as needed;
  • Assist with back up typing and dictation, as needed;
  • Process, draft and submit Audit Letter(s), as needed;
  • Back up other Receptionist(s) and administrative staff as requested or assigned; and,
  • Any other related tasks that may be assigned by Management or Supervisor(s).

Qualifications

Minimum Qualification(s):

  • High School Diploma or Equivalent

Knowledge/Skills/Abilities:

  • Proficiency with Microsoft Office Suite, including Microsoft Word
  • Minimum typing speed of 70 wpm
  • Proficiency in using standard office software and digital tools
  • Knowledge of document management, billing, and docketing legal software is helpful
  • Excellent client service and interpersonal skills with the ability to interact well with and respond to the needs of all levels of individuals
  • Ability to communicate clearly and concisely in oral and written form
  • Highly organized with attention to details, including the ability to own and prioritize all aspects of the position and meet deadlines in a dynamic, fast-paced environment
  • Effectively manage and maintain confidential information
  • Self-starter with the ability to work independently, or as part of a team, using initiative in all aspects of assignments
  • Ability to read and absorb complex information quickly and accurately
  • Prior law firm experience is a plus
