Schedule: Part-Time, 20 hours/week, First Shift
Position Summary:
Seeking a detail-oriented Administrative Assistant to provide comprehensive administrative support to an Aviation Department. This position requires experience in accounts payable, scheduling, document management, and maintaining confidential information. Strong skills in Microsoft Office, particularly Excel and PowerPoint, are essential.
Key Responsibilities:
Perform a variety of administrative duties supporting the Aviation Department.
Manage accounts payable activities including purchase order creation, invoice reconciliation, and processing.
Collaborate with Accounting and Supply Management teams to set up and update supplier information.
Prepare and submit expense reports, check requests, and airport flow fee payments.
Maintain and update spreadsheets and department logs.
Order and manage office supplies, coffee supplies, and promotional items.
Schedule department meetings and events, including coordinating amenities such as refreshments.
Assist with travel arrangements as necessary.
Handle sensitive and confidential information with discretion.
Prepare reports and presentations using Microsoft Excel and PowerPoint.
Qualifications & Skills:
Minimum of 2 years administrative experience, preferably in JD administration.
Associate’s degree is a plus but not required.
Strong proficiency in Microsoft Office tools, especially Excel and PowerPoint.
Experience with accounts payable systems and invoice reconciliation.
Excellent communication skills and attention to detail.
Ability to maintain confidentiality and handle sensitive information securely.
Strong organizational and time management skills.
