The Receptionist/Administrative Assistant provides general office support with a variety of administrative duties and related tasks including answering incoming calls and directing calls to appropriate persons. This role assists employees, clients, etc. with various requests, inquiries, or problems and provides administrative and technical assistance to assigned team members. The Receptionist/Administrative Assistant will help promote Jamestown's culture and serve as a liaison between the corporate headquarters and the local office on various initiatives. This is a fully in office Monday-Friday role (8:30am - 5:30pm), with a full commitment to the administrative responsibilities for the front desk of our corporate office here at Ponce City Market. The perfect candidate would enjoy being the face of our corporate headquarters, be proud of longevity within the receptionist position, and welcomes the opportunity to work within a stable environment.

QUALIFICATIONS :

  • More than two years of professional level work experience; or,
  • Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

ESSENTIAL JOB FUNCTIONS:

  • Answer all incoming calls and ensure calls are directed appropriately.
  • Greet and announce visitors in a professional and courteous manner.
  • Provide administrative support to assigned team members
  • Manage the company's lobby area and general upkeep of conference rooms.
  • Assist the Office Manager with ordering office and kitchen supplies.
  • Responsible for maintaining the cleanliness of the kitchen and restocking goods as needed.
  • Provide directions and assist with parking validations.
  • Mange the distribution of incoming and outgoing mail; ensure copier/fax/printer is supplied; assist with UPS account and routine shipments.
  • Manage company conference room schedules, add meetings, and assist with scheduling as requested.
  • Coordinate travel arrangements and manages expense reports using Concur software.
  • Assist the Office Manager with planning and set-up of teams and company events.
  • Serve as back-up on various administrative tasks as needed.
  • Organize and maintain various filing systems
  • Format and type letters, memos, forms labels, agendas, notices, reports, or other correspondence and proof correspondence and related documents to staff.
  • Perform other related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Office administrative principles, practices, and procedures, such as business letter writing and the operation of standard office equipment.
  • All computer applications and hardware related to performance of the essential functions of the job.
  • Department organization, standard operating guidelines and policies, rules, and regulations.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Concur
  • Positive attitude and a willingness to address challenging situations
  • Professional with excellent written and oral communication skills
  • Organizational and interpersonal skills
  • Proofreading and editing documents
  • High responsiveness and flexibility to changing business priorities and tight deadlines with a willingness to learn
