Administrative Coordinator - Physical Therapy

Overview

Performs and coordinates a variety of clerical support services for the efficient operation of the department. Performs and provides secretarial and operational support services such as maintaining files, preparing correspondence, coordinating meetings and events, conducting special departmental projects as assigned for Rehab Services and preparing reports.

Responsibilities
  • Maintains & ensures accuracy of daily patient schedule for Inpatient Rehabilitation.
  • Communicates with therapy staff to coordinate patient care needs and orders.
  • Tracking deadlines for projects, due dates, etc.: Student information, BLS certifications, licensure.
  • Booking of and preparation for meetings: Reserves conference room, prints and posts signage, prepares staff meeting agenda and additional handouts each month, coordinates for catering (Rehab Week, PT month, OT month and SLP Month)
  • Assists with organization, planning and execution of all special events on Rehab
  • Published documents: Assists in updating job descriptions, updates employee rosters
  • Assists with payroll and ordering of office supplies
  • Assumes responsibility for department intranet updates & staff communication of system mandatories
  • Coordinate staff schedules and attend department meetings and weekly outpatient staffing (if applicable)
  • Answers telephone, takes messages and communicates messages to appropriate person demonstrating good judgement in screening and routing calls.
  • Ensures accuracy of daily charge entry, including reconciliation
  • Maintains daily/monthly reports, purchase orders, receiving documents, payroll, PTO calendar and education plan (Inpatient and Acute Care).
  • Request and monitors supplies to ensure efficient operation of the department (Inpatient, Outpatient, Acute Care)
  • Performs payroll duties and key entries including maintaining PTO calendar (inpatient, outpatient, Acute Care).
  • Assist Managers with coordination of PRN coverage as needed
  • Assume responsibility for patient registration, insurance verification and insurance follow-up including insurance tracking forms and computer comments, and OP Medicaid. Inform therapist of coverage.
  • Assumes responsibility for monitoring and updating office policies as needed.
  • Assists Managers and Business Supervisor in establishing, and monitoring department policies, procedures, and protocols updates/revisions
  • Collect and distribute incoming and outgoing mail.
  • Completes Managers and Business Supervisor requests for secretarial support, including Outpatient staffing prep, new hire onboarding, and other typing duties.

    • Must adhere to all DCH Health System policies and procedures.
    • All other duties as assigned.
    Qualifications

    High School diploma or equivalent. At the minimum, one (1) year secretarial, administrative or office experience required. Good computer skills and working knowledge of Microsoft Office Suite with basic proficiency in Word and Outlook required. Excellent communication skills required and meets the public well. Evidence of good math, organizational, and concentration skills. Detailed oriented. Previous experience in Expanse preferred. Must be able to read, write legibly, speak and comprehend English.

Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
    • Must be able to perform the duties with or without reasonable accommodation.
    • Hearing and vision must be normal or corrected to within normal range.

    Physical presence onsite is essential.
