Office Coordinator/Receptionist

Our client, an investment advisor, is seeking an Office Coordinator/Receptionist in New York City. The hours are 8:00am-4:00pm, in office five days per week.

Responsibilities:
* Serve as the face of the office, warmly greeting visitors and ensuring a welcoming, professional environment
* Answer main phone line, relay messages, and manage mail including scanning and distributing to the appropriate teams
* Coordinate daily breakfast orders and biweekly office lunches; handle setup and cleanup
* Maintain and tidy conference rooms, kitchen, and communal spaces; manage office supplies and snack inventory
* Support facilities needs including liaising with building engineers for maintenance issues and vendor coordination
* Assist with administrative functions such as expense reports, light calendaring, travel research and booking, and interview coordination
* Prepare and manage DocuSign forms and trade confirmations
* Support the Chief Administrative Officer with HR tasks including onboarding/offboarding, benefit coordination, and employee communications
* Help coordinate firmwide events and serve as a collaborative partner to the broader administrative team

Qualifications:
* 2+ years of experience in a corporate office setting, ideally in financial services
* Bachelor's degree preferred
* Positive, proactive attitude with a strong service mindset and ability to juggle shifting priorities
* Excellent communication skills, high attention to detail, and sound judgment
* Willingness to pitch in on all tasks, from administrative to hospitality-related
* Proficiency in Microsoft Outlook and other Microsoft Office applications
* Notary license is a plus

Compensation/Benefits:
* Up to $80K base plus paid overtime and bonus
