The Administrative Assistant to the Superintendent-Director / School Committee is responsible for managing and coordinating the day-to-day administrative operations in the Superintendent-Director’s Office. Periodically called upon to function as communication Liaison to and from the School Committee. Entrusted with highly confidential and impactful priorities, the role encompasses significant independence and judgement. The Administrative Assistant will perform duties of a varied and responsible nature requiring accuracy, timeline sensitivity, confidentiality, and the ability to work well with people under pressure.
Responsibilities and Duties:
1.Maintain and protect: public records driven by mandates and/or district policies which pertain to the regional school district, member towns, and school committee members; official school committee minutes; communiqués with federal, state, and private agencies; various contracts/agreements. Exercise office practices which assure the highest degree of confidentiality and security of files maintained on behalf of the District.
2.Serve as Administrative Assistant and confidential secretary to the Superintendent-Director; obtain, gather/organize pertinent data as needed, generate into a useable format, and distribute such data as required; collect and compile information on miscellaneous projects for the Superintendent-Director and School Committee; collect and coordinate essential and confidential data for action by the Superintendent-Director. Provide secretarial services for the Superintendent-Director in a timely and effective manner at the highest level of competency.
3.Assist the Superintendent-Director with administrative matters; provide information in accordance with established procedures and policies; refer problems requiring technical assistance to appropriate administrators.
4.Serve as liaison among the Superintendent-Director and various stakeholders (School Committee members, administrators, faculty, staff, parents, community members, media, local and state government officials, etc.).
5.Assist the Superintendent-Director in the preparation of materials, documents and reports for submission to the School Committee; generate School Committee meeting agendas; prepare and distribute School Committee packets to School Committee members prior to meetings; post School Committee and subcommittee meeting notices on the District’s website in accordance with the Open Meeting Law and District policy; ensure appropriate dissemination of minutes including safekeeping of official copy of minutes and/or other documents that are public records.
6.Prepare letters, memoranda, reports and other materials as requested by the Superintendent-Director; compose replies to correspondence as directed; proofread material for spelling, grammar, content, and format accuracy. Review and edit materials prepared by others.
7.Assist the Superintendent-Director in cultivating and maintaining a positive rapport with all District staff (personnel), member communities and citizens, and state and federal agencies. Exercise of good judgment is critical.
8.Schedule and organize a variety of activities (appointments, meetings, interviews, conferences, etc.) and coordinate travel arrangements for the purpose of effectively managing the Superintendent-Director’s calendar.
9.Oversee supervision of the Central Office support staff assigned to the Superintendent-Director's Office.
10.Assume other responsibilities that are consistent with the smooth operation of the Superintendent-Director’s Office and carry out other ad hoc projects, as assigned.
Qualifications: The qualifications listed below are representative of the knowledge, skill and/or ability needed to successfully meet the requirements of this role. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
1.Bachelor’s degree preferred; or relevant combination of education and work experience.
2.Demonstrated successful experience as an administrative assistant (minimum 2 years at the administrative/executive level) where significant independence was exercised in the performance of responsibilities. Advanced administrative support skills in a public school setting strongly preferred.
3.Operate a personal computer and peripheral equipment using advanced word processing, spreadsheet, and data base applications. Must be adept in performing basic business mathematics and basic bookkeeping.
4.Proficiency utilizing Microsoft applications (e.g., Word, Excel, PowerPoint), commonly used Windows applications, Google Apps, and other software applications (as needed) is essential.
5.Experience working with electronic calendars and email.
6.Ability to communicate effectively both verbally and in writing, with administrators, faculty members, parents, School Committee members, town officials, and the general public. Must display a high degree of professionalism, tact, and sensitivity to all office callers and/or visitors.
7.Candidate will demonstrate an appropriate use of grammar and vocabulary and possess excellent proof-reading skills.
8.Ability to prioritize multiple tasks and perform detailed work accurately and efficiently, within strict deadlines, in an environment with changing priorities.
9.Ability to handle highly confidential and legally-sensitive employee and organizational material with the utmost discretion while working with a broad range of internal and external audiences.
10.Candidate must be highly organized and able to expedite the flow of work through the office with a high degree of tact, diplomacy, and attention to detail. Ability to work independently and direct his/her own work as well as work cooperatively with others to analyze complex issues.
11.Must possess a pleasant attitude – relate well to others – have a courteous and helpful demeanor – enjoy personal interactions and “solving problems” – follow through on completion of tasks.
12.Possess physical and emotional capacity to fulfill responsibilities and duties expected. This position involves sitting at a desk for several hours a day, sustained hand/wrist movement as in writing or using a computer keyboard/mouse. Other activities may include moderate to frequent physical exertion in body movements such as reaching, bending and twisting.
Compensation and Terms of Employment:
1.Weekly salary based on qualifications and experience. Full year assignment - 52 weeks, Five (5) days per week, Seven and one half (7.5) hours per day / 37.5 hours per week. Targeted workday 9:00 AM to 5:00 PM with 30 min. unpaid duty-free lunch. Extended hours may be necessary at times to meet deadlines.
2.The school district will provide necessary facilities, equipment, materials and supplies needed to accomplish assignment.
3.Training will be underwritten when required.
