Summary of Duties

As an employee working within the Child Welfare Program , you will have an opportunity to make a meaningful difference in the lives of Oregons most vulnerable children and families. As an Office Specialist 2, you will:

  • Provide general clerical support to caseworkers and unit supervisors.

  • Process all paperwork and payments according to policy.

  • Conduct all Administrative duties to include answering phones, explaining rules and policies, maintaining the lobby, and data entry.

  • Distributes and issues parking permits, cash vouchers, bus passes, and logs transactions.

  • Ensure all forms and letters are in accordance with ODHS policy and procedures.

Minimum Qualifications

Bilingual in English and Spanish (the job offer will be contingent upon passing test(s) evaluating your proficiency in the bilingual requirements of the position).

A valid drivers license and acceptable driving record are required for this position.

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR

  • An associate degree in any field; OR

  • An equivalent combination of education and experience.

We are looking for candidates with:

  • Experience handling front desk responsibilities, ensuring efficient and professional interactions with guests and clients.

  • Experience using computers to process, enter and verify detailed data with accuracy and efficiency.

  • Experience using time management, organization, and prioritization skills to track and complete tasks.

  • Experience communicating clearly and precisely through different platforms (Ex: cell phone, email, in person, Microsoft Teams).

  • Experience identifying problems and solutions through a trauma-informed and culturally responsive approach.

Working Conditions

  • Work will be conducted in the office, Monday Friday, 8am 5pm.

  • Occasional travel is required for attending meetings, trainings, and other business needs.

  • You are expected to work competently within the agencys electronic information systems to include: Microsoft Teams, Word, Excel, Outlook and OR-KIDS.

  • You will conduct work in an open office environment with noise from telephones, printers, and other staff with frequent interruptions and/or distractions.

  • In this role, you will encounter sensitive material related to trauma, abuse, substance use, and crisis situations. Our team prioritizes a trauma-informed approach, creating a safe environment for both clients and staff.

  • You will interact with a diverse range of individuals, including those who have experienced trauma and may struggle with emotional regulation. This position may involve handling stressful situations that demand rapid decision-making skills.
