About The Position

The Receptionist serves as the first point of contact for Heartland Whole Health Institute (HWHI), delivering a warm, professional, and efficient front desk experience for guests, staff, and visitors.

This role requires a personable, dependable, and detail-oriented individual who is passionate about customer service and aligned with the organizations values in art, architecture, nature, education, and wellness. The Receptionist plays a key role in creating positive first impressions and supporting smooth daily front desk operations.

This is a temporary, full-time, on-site position that supports increased guest and program activity during the organizations peak season.

Essential Duties and Responsibilities

  • Serve as a welcoming and professional first point of contact for guests, vendors, and staff.
  • Deliver high-quality customer service by responding promptly to inquiries, providing accurate information, and ensuring a positive experience for all visitors and colleagues.
  • Act as a knowledgeable resource on current and upcoming exhibitions, programs, events, and Campus offerings. Proactively share information to enhance the guest experience.
  • Assist guests in navigating visit options and recommend appropriate solutions based on individual needs.
  • Stay up to date on Campus policies, procedures, products, and systems to support guest interactions effectively.
  • Research and resolve guest concerns in a timely and courteous manner.
  • Manage daily front desk operations, including guest check-in, visitor logs, incoming phone calls, and accurate call routing.
  • Maintain an organized and clean front desk environment, ensuring hospitality materials and welcome information are current and fully stocked.
  • Provide general administrative support such as calendar coordination, data entry, filing, and meeting logistics.
  • Coordinate the scheduling of conference rooms and support internal meeting needs.
  • Communicate effectively with internal teams to ensure seamless coordination and guest support.
  • Adhere to security and confidentiality protocols in all visitor and staff interactions.
  • Maintain awareness of Campus activities to answer questions and guide guests accordingly.
  • Perform other duties as assigned.

Qualifications and Requirements

  • High school diploma or equivalent required.
  • 13 years of experience in receptionist, administrative, or customer service roles preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using scheduling tools and visitor management systems.
  • Strong verbal and written communication skills.
  • Professional demeanor with a customer-first approach.
  • Committed to providing supportive, responsive service. Remains patient, adaptable, and focused in all interactions.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks in a dynamic environment.
  • Reliable and punctual, with a strong sense of responsibility and accountability.

Physical Demands : In the work environment described, position requires utilizing a computer and a telephone for prolonged periods of time and good eye/hand coordination, bending and stretching, and physical stamina to lift and transport a minimum of 10 pounds. Visual acuity to review written materials is required for this job.

Work Environment : Work is performed full-time (Monday-Friday, 8 a.m.-5 p.m.) in a professional, climate-controlled office environment with standard office equipment, including computers, printers, and telephones. This role requires working in an open setting near colleagues. The noise level is typically low to moderate. The role also requires regular interaction with both the public and internal team members in a professional and courteous manner. A flexible schedule may be necessary to accommodate business needs, including occasional evening and weekend work hours.
