OVERVIEW

The Administration Receptionist is responsible for providing customer service by greeting guests, answering phone calls, taking messages, and provide ongoing support to the Administration team.

DETAILED ROLES & RESPONSIBILITIES

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Responsible for proper operations of fax machines and copiers.
  • Greet and meet visitors to the building and ensure proper ID, and log them into guest book.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate person according to their needs.
  • Ensure all visitors log in to visitors log book and check ID
  • Organize PPE for visitors; order lunches as required for staff, visitors, and auditors
  • Maintain a hard copy of assigned reports
  • Collect and distribute mail
  • Maintain a record of radios in use, out for repair, etc. Arrange for radios to be repaired
  • Prepare documents for shipment of products; distribute reports as required
  • Maintain scheduling and events calendar
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material
  • Tracking of training information
  • Support to the HR Department as needed
  • Support to administrative office staff as needed

ESSENTIAL CAPABILITIES (KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL ATTRIBUTES)

  • Team player, willing to learn attention to detail, job motivation, Administrative orientation and demonstrate the ability to communicate and work with others.

ELIGIBILITY REQUIREMENTS

  • High School Diploma and preferably some college
  • Ability to communicate in English Bi-lingual a plus
  • SAP experience a plus
  • Extensive knowledge in MS Word and Excel
  • Organized
  • Excellent Attendance
  • Ability to work Saturday during the crop
