Job Duties and Responsibilities
- Assists residents, guests, and employees by answering phones in a timely manner; directs guests and visitors to appropriate locations; and provides information and referrals to staff as needed.
- Assists with clerical duties including, but not limited to: copying, faxing, filing, and collating.
- Ensures that office forms are kept up to date.
- Forwards faxes to appropriate departments or residents.
- Sells stamps and postage; postmarks outgoing mail for residents and departments.
- Books trips and activities for residents.
- Opens and closes the cash register each day, verifies the balance and daily sales.
- Departmentalizes fees, totals and copies them, and correctly enters them into the cash register.
- Makes reservations for guest rooms, distributes keys, and accepts payments.
- Sells guest meal tickets.
- Accepts and appropriately forwards job applications when the HR offices are closed.
- Interacts with prospective residents, provides them with basic information regarding the services at Lakeview.
- Receives, sorts, forwards, and distributes incoming mail.
- Processes work orders.
- Becomes familiar with both Eastside Terrace and Heritage desk duties.
- Ensures that assigned areas of the facility are maintained in a safe, clean, and orderly manner.
- Attends and participates in in-service educational classes and on-the-job training programs.
- Develops and maintains a good working rapport with inter-department personnel and other departments within the facility, to ensure that departmental programs can be properly maintained to meet the needs of the facility and residents.
- Ensures that Residents' Rights to fair and equitable treatment, self-determination, individuality, privacy, property, and civil rights, including the right to express grievances are followed.
Qualifications
- High School Diploma or GED is required.
- Must have at least two years of experience as a receptionist, or in administrative support services.
- Demonstrates good communications skills, including but not limited to effective reading, writing, speaking, and analytical skills, with a fluent understanding of English.
- Must possess a good working knowledge of the Microsoft Office Suite software.
- Must possess basic mathematical skills.
- Ability to work independently, prioritize tasks appropriately, and exercise sound judgement where procedures cannot be standardized.
- Ability to administer and follow straightforward written or verbal instructions.
- Possesses an empathetic approach to the elderly.
- Able to work in a team setting with residents, relatives, staff, and others.
