Position: Administrative Assistant, Medical - Corporate
Shift/Schedule/Location: Must be able to work from multiple locations, a variety of schedules, etc.
How YOU can make an Impact: (Job Responsibilities)
The Administrative Assistant, Medical Corporate will support healthcare operations across multiple correctional facilities on a temporary basis by managing medical records, scheduling appointments, processing documentation, and coordinating communication between healthcare staff and facility personnel. This role ensures compliance with confidentiality regulations, facility policies, and medical administrative procedures. The Administrative Assistant, Medical - Corporate will also assist with data entry, reporting, and maintaining an organized and efficient healthcare environment.
Provide daily administrative support to ensure the smooth operation of the medical unit, including scheduling off-site appointments, arranging transportation, and submitting office supply requests.
Assist the Health Services Administrator (HSA) with clerical and operational tasks to support efficient medical department functions.
Maintain accurate and organized records and files in compliance with all applicable laws, regulations, and internal policies.
Process and submit Utilization Management (UM) documentation to Corporate, and maintain required logs including UM, appointment tracking, and monthly operational logs.
Scan and upload medical records into the electronic medical record (EMR) system in a timely and accurate manner.
Support the coordination and completion of special projects or administrative initiatives as directed by the HSA or management.
Respond promptly to requests from medical and security staff, maintaining professionalism and confidentiality.
Perform other related duties as assigned.
What we ask of YOU: (Job Qualifications)
Bachelors degree in a relevant field (e.g., Human Resources, Finance, Sales, Business Administration, Healthcare Administration, or related discipline) from an accredited institution preferred.
Additional certifications or specialized training may be required depending on the function (e.g., Certified Human Resources Professional (PHR) for HR roles, Certified Public Accountant (CPA) for Finance roles, etc.).
Minimum of 2-3 years of relevant experience in the specific functional area (e.g., HR, Finance, Sales, Marketing, Operations, etc.).
Experience in healthcare, correctional healthcare, or a regulated industry is preferred.
Demonstrated success in applying function-specific skills (e.g., employee relations for HR, financial reporting for Finance, or sales strategy for Sales) is required.
Knowledge of relevant industry-specific regulations, compliance standards, and best practices may be required, particularly for roles in highly regulated functions like HR and Finance.
Relevant industry certifications based on the role (e.g., PHR, SHRM-CP, CPA, etc.).
Active CPR/BLS certificate required (American Heart Association/American Red Cross guideline approved), if role is located in a correctional facility.
