We are seeking a friendly and organized Office Receptionist to be the welcoming face and voice of our welding shop. This vital role will manage the front office, ensuring smooth daily operations and providing essential administrative support to our team. The ideal candidate will possess excellent communication skills and the ability to multitask in a busy industrial environment.
Key Responsibilities:
Greet and welcome clients, vendors, and visitors with a friendly attitude.
Answer and direct incoming phone calls
Manage incoming and outgoing mail and deliveries.
Maintain a tidy and organized reception area and front office.
Schedule appointments and manage the shop calendar.
Assist with basic data entry
Order and maintain office supplies.
Handle customer inquiries and direct them to the appropriate personnel.
Maintain confidentiality of company and customer information.
Qualifications:
High school diploma or equivalent; associate's degree or higher a plus.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong organizational and time management abilities with keen attention to detail.
Ability to prioritize tasks and work effectively in a fast-paced environment.
Professional and courteous phone etiquette.
Ability to work independently and as part of a team.
Knowledge of basic office equipment (copier, scanner, multi-line phone system).
A positive attitude and strong work ethic.
Bonus Points (Not required, but a plus):
Familiarity with the welding or manufacturing industry.
Proven experience as an office receptionist, administrative assistant, or in a similar role (1-2 years preferred).
Experience with QuickBooks or similar accounting software.
