This is a full-time, twelve-month position in the Student Services Office, reporting to the Director of Financial Aid. The position serves as the first point of contact for students and visitors and provides administrative support for Financial Aid.

Full Time or Part Time Full Time Essential Duties Summary

Job Duties and Responsibilities:

Provide administrative support for Financial Aid operations, including:

  • Performing accurate data entry in the student information system.
  • Assisting students with FAFSA and FSA ID creation and troubleshooting.
  • Downloading and processing ISIRs
  • Processing incoming financial aid documentation including scanning and filing.
  • Tracking and logging receipt of student forms for FA Coordinators.
  • Coordinating responses to inquiries received through the Financial Aid email account.
  • Assisting with the processing of Federal Work-Study time sheets.
  • Monitoring student course withdrawals and updating FA records as needed.

Manage the Student Services reception desk for 4.5 hours each day. Responsibilities include:

  • Greeting and directing all visitors in a professional and welcoming manner.
  • Monitoring and managing the office's online check-in system.
  • Providing referrals to appropriate departments and staff.
  • Maintaining an organized and informative front desk area by ensuring college publications, forms, and resources are current and readily available.
  • Opening and closing the Student Services office, following established procedures.

Operate the college switchboard while stationed at the reception desk by:

  • Answering and directing incoming calls to the appropriate personnel or department.
  • Providing general college information and assistance as needed.

Perform other duties as assigned.

Required Qualifications

  • High School Diploma and at least 5 years of recent administrative assistant experience or an associate's degree in a related field.
  • Computer proficiencies should include Microsoft Word, Access, Excel, and PowerPoint.
  • Applicants must also have excellent human relations skills and be able to work with a variety of individuals (students, instructors, administration, and the public). Good analytical skills, attention to detail, the ability to communicate effectively, good organizational skills, excellent data entry skills, and the ability to work with deadlines are essential.

Physical Demands

The work environment is primarily an office setting with occasional requirements to attend events, meetings, or other engagements off-site. The role may involve occasional evening or weekend work to meet deadlines or attend college events.

The position requires strong written and verbal communication and administrative and organizational skills. Must be able to work under pressure and handle all confidential matters with discretion.

Essential functions of this position require lifting, manual dexterity, ability to communicate, reasoning, critical thinking, and problem-solving skills.

Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills are important.

Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

Medium work: Exerting up to 25 pounds of force occasionally and/or up to 5 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body; involves sitting for long periods for meetings.

Salary Grade Salary Salary Range: $31,200 to $40,000 based on education and experience in accordance with the college salary plan.
