Summary
We are seeking an Executive Personal Assistant to join our dynamic team. In this role, located in an engaging legal environment, you will provide essential administrative support that contributes to our mission of delivering exceptional service to our clients.
An executive/personal assistant has responsibilities that are as unique as the person they work for. They are involved in every aspect of the person’s life and business, managing every detail.
Responsibilities
An executive personal assistant, or executive assistant (EA)
manages the day-to-day operations for an executive or senior manager.
They act as a gatekeeper, filtering communication and prioritizing tasks to ensure the executive can focus on important work.
Responsibilities
· Communication: Act as the first point of contact, answering phone calls and emails, and screening visitors
· Administrative tasks: Provide secretarial support, such as writing emails, drafting memos, and preparing reports.
- Coordinate internal and external meetings, events, and catering.
· Travel arrangements: Plan travel logistics, including accommodation, transportation, and meals.
- Maintain accurate records, including emails, contacts, and filing systems.
· Confidentiality: Maintain confidentiality with all materials
- Schedule appointments and coordinate calendars (business and personnel)
- Set up meetings, attend them, and take notes.
- Manage email correspondence and phone messages.
- Book business travel and family vacations
- Organize speaking engagements.
- Create expense reports.
- Make restaurant reservations.
- Do shopping and errands.
- Assist with the needs of animals and charitable efforts.
- Hire and supervise household staff.
- Buy gifts, send holiday cards.
- Research, hire, and supervise vendors and contractors for home projects, as needed.
- Ensure the routine maintenance of homes and vehicles.
- Keep the principal updated on the progress of projects.
- Manage philanthropic interests.
Skills
problem-solving, time management, organizational skills, interpersonal skills, project management skills, and software knowledge.
Education
4-year degree or relevant experience with 2-year degree.

Job Type: Full-time
Pay: $20.00 - $24.00 per hour
Expected hours: 40 per week
