JOB DESCRIPTION

Position: Receptionist

Primary Purpose: To serve as the first point of contact for the district, creating a welcoming and professional environment for all visitors and callers. The receptionist will support the efficient operation of the front office and assist with clerical tasks as needed.

Qualifications:

  • High School Diploma or G.E.D.
  • Ability to operate computer programs, office machinery, such as a fax machine and scanner/copier.
  • Previous work experience in an office setting.
  • Bilingual in English and Spanish preferred.
  • A genuine willingness to accept other jobs/responsibilities as deemed necessary by the supervisor or the Board.

Essential Duties and Responsibilities:

  • Greet and assist visitors in a courteous, professional manner.
  • Answer incoming calls, route calls appropriately, take messages, and provide accurate information as needed.
  • Maintain a neat, organized, and professional front desk area.
  • Monitor and control visitor access, ensuring proper sign-in procedures are followed.
  • Sort and distribute incoming mail and deliveries.
  • Provide clerical support to administrative staff, including data entry, filing, and document preparation.
  • Demonstrate and engage in ethical behavior.
  • Project an overall concern for personal appearance as it relates to job performance.
  • Work cooperatively with colleagues, supervisors, and administrators.
  • Follow district policies, administrative rules, and government regulations.
  • Maintain appropriate behavior and demeanor to effectively accomplish assigned duties.
  • Possess or be willing to acquire knowledge and skills to complete job tasks successfully.
  • Uphold high ethical standards of performance and interpersonal relationships.
  • Manage interruptions and multitask effectively in a busy environment.
  • Communicate clearly and professionally with staff, students, parents, and the community.

  • Assist other personnel to support completion of work activities.
  • Maintain a variety of manual and electronic records and databases.
  • Monitor supply levels and assist in maintaining inventory for office supplies.
  • Prepare written materials such as memos, notices, and simple reports as directed.
  • Process documentation and requests efficiently and accurately.
  • Respond to inquiries from internal and external parties to provide information and direct appropriately.
  • Schedule appointments and maintain calendars as required.
  • Willingness to adapt to changes in daily routine.
  • Other duties as assigned by the supervisor.

Physical Requirements:

  • Sitting, standing, lifting, and carrying (up to 50 pounds), reaching, squatting, climbing stairs, kneeling, must be able to see and hear, and moving light furniture may be required.

Safety and Health Requirements:

  • Knowledge of universal hygiene precautions.

Equipment/Material Handled:

  • Must know how to properly operate, or be willing to learn to operate, equipment including current technology.

Work Environment:

Must be able to work within various degrees of noise, temperature, and air quality. Interruptions of work are routine. Job responsibilities include both inside and outside duties. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision.
