Description
GENERAL STATEMENT OF DUTIES:
This position will be the first point of contact for visitors and manages administrative tasks to ensure smooth office operations. The role typically involves greeting clients, answering phones, managing schedules, handling mail, ordering office supplies, and providing general administrative support.

LOCATION: Houston, TX - Corporate Office
PRIMARY DUTIES AND RESPONSIBILITIES:
- Answer, screen, and direct incoming calls; take messages and manage the phone system. Serve as liaison with the after-hours answering service and phone service provider.
- Greet and check in visitors, ensuring they are directed and escorted to the appropriate Stabilis employee.
- Receive and distribute daily mail and packages; coordinate outgoing shipments with couriers such as FedEx and the U.S. Postal Service.
- Schedule appointments and manage calendars for conference rooms and the executive team.
- May prepare and edit correspondence, communications, presentations, and other documents for the executive team.
- Monitor inventory and reorder office supplies, beverages, and snacks; restock the coffee bar daily.
- Provide administrative support to other departments as needed, including filing and organizing records.
- Perform other related duties as assigned.
Requirements
QUALIFICATIONS:
- H.S. Diploma
- 3 years' receptionist and/or office management experience.
- High proficiency with Microsoft Office products, particularly MS Outlook.
- Organizational ability to handle multiple projects and effectively prioritize work assignments.
- Demonstrated ability able to work cooperatively and positively on cross-functional teams, supporting team and company goals
- Excellent communication both written and verbal along with outstanding interpersonal skills to effectively interact with clients, staff, and visitors.
- Must present a professional demeanor, with a positive and courteous attitude.
WORKING ENVIRONMENT:
Expected to work 100% in the office (not hybrid).
Office equipment will be used including copy machines, telephones, keyboards, and computers.
Skills and activities require fine motor dexterity, good vision, good hearing, and clear speaking.
Non-smoking and drug free workplace.

WORK SCHEDULE:
This is a full-time non-exempt position with possible overtime as required by the business working from our corporate headquarters in Houston, TX, (not a hybrid schedule).
